Groups & Events Executive
About the job
• Handles and responds to Group and event inquiries within twelve hours, liaising with the DOS regarding availability, rates, F&B requirements and the follow-up of the offer.
• To confirm that all enquiries have been handled to the satisfaction of the client and are in line with optimizing the availability and revenue streams for the hotel.
• Prepares contracts for confirmation of the business and ensures that this is returned within the required set time.
• Ensure that clients adhere to the contract policies and payment of the deposits in the requested time period.
• Coordinate reservations rooming lists for groups, tour series, and special programs for the Hotel. Handles the above and liaise with the Reservation, Front Office Manager and DFB to ensure proper communication within the hotel of the services required.
• Advise the Front Office Manager, Reservations and Banquet Manager or Food and Beverage Manager of any changes of trends relating to Group and Events business.
• Welcoming the event’s organizers before the event starts and introducing them to the person in charge of the function space.
• Ensure all departments receive Action plan as per the laid down procedures.
• Ensure that a Sales attitude is adopted at all times and is aware of all Sales opportunities within the hotels that will assist in the maximization of revenues.
• Ensure that all regretted Group and Events business is properly recorded with the reason for regret.
• Ensure that all files are kept up-to-date with the latest information, therefore ensuring that the filing is done on a regular basis, due to the heavy correspondence being handle in the Groups and Events department.
• Develop and maintain a high level of communication with all major sources of business and advise the Director of Sales where necessary.
• Update Director of Sales of any necessary and new information pertaining to Travel Trade or the corporate business that is gathered in the Market. This can be information about the competition, economic or demographic influences.
• Adhere to all company credit policies to ensure that all revenue expected will be received. Liaise with the Credit Manager for above matter.
