Job description

Based in Rome, the Facilities Manager will work from our office in Trastevere where we manage more than 100 beds located in several districts in Rome (Trastevere, Prati, Centro Storico). He or she will work, together with the City Manager and the Sales and Marketing manager, to almost double the number of beds by the end of 2019. Managing a team of one maintenance worker as well as a handful of external subcontractors, the Facilities Manager will ensure that apartments are furnished and equipped according to our standards, and that any problems in the apartments are dealt with swiftly and effectively.
Working closely with the Director of Property Operations of our Paris office (our largest and most developed market and our corporate headquarters), and in concert with our Florence Facilities Manager, the Rome Facilities Manager is responsible for the successful functioning of short and long-term properties within the company’s operating budgets. To fulfill this responsibility, the Manager will budget, solicit, organize, supervise, and report on all activities which support property operations; establish systems and procedures for Rome with the goals of creating efficiencies and cost savings; provide superior customer service to our university clients; and grow our facilities team while optimizing scalability as our Rome market grows.

The Facilities Manager reports to BlueStripe’s Italy Country Manager.
Responsibilities include but are not limited to:
• Understanding the company’s current property operations resources and budget in Rome and assessing them for improvements in operating practices and cost management
• Identifying, hiring, and managing full-time, subcontractor, and seasonal teams to respond to problems efficiently and effectively, and within scope of BlueStripe customer service expectations as well as contractual obligations
• Managing a team of one staff maintenance worker, as well as external subcontractors, to ensure day-to-day upkeep of apartments as well as responses to student and client (university) requests for repairs and replacements
• Overseeing apartment search and acquisition, including identifying properties that conform to BlueStripe standards; negotiating (and renegotiating) attractive leases with respect to budgetary directives; maintaining relationship with landlord and/or property management company
• Managing apartment set-up, renovations, and furnishing, including any reconfiguration necessary to adhere to necessary bed capacity
• Administration and tracking of leases, utilities contracts, insurance contracts and claims
• Coordinating recruitment and training of seasonal turnover teams, as needed,
• Budgeting, tracking, and managing all non-personnel and contractor operating expenses to find savings and ensure optimal management (supplies, repair and replacement, etc.)
• Overseeing tracking, communication, and triage of maintenance issues arriving from various sources (on-line ticket requests, student/client phone calls, on-site staff and vendors, turnover assessment forms, etc.)
• Using internal software and project management tools to organize work schedule according to departure and arrival dates of clients
• Identifying, vetting, and managing external service providers (plumbers, electricians, etc.) according to needs
• Generating and overseeing preparation of reports on maintenance performance, setting benchmarks for team
• Tracking and reporting on expenses

Requirements

• Excellent written and verbal communication in English and Italian
• Professional experience in hospitality or property management preferred
• Knowledge of the real estate market in Rome preferred
• Significant budget and team management experience
• Comfortable using Excel and other project management tools
• Technical understanding of basic plumbing and electrical issues
• Excellent interpersonal, organizational, and communication skills
• Italian driver’s license required
• Microsoft Office, Excel, Powerpoint
• Valid work permit authorizing full-time work in Italy
