Managing Sales Activities
1.Manage the customer journey from the point of contract in accordance with Standard Operating Procedures and the hotel Sales and Marketing strategy.
2.Conduct site inspections, ensuring a full briefing is received from the Re-Active Sales Team prior to the appointment and a full de-brief is given to the Re-Active Sales Team afterwards. According to the nature, the volume of the business and the timing when the site inspection is planned, if conduct it with the GM, Sales Mgr or Re-Active Sales Coordinator.
3.Attend a handover meeting with the Re-Active Sales Coordinator once the event is contracted, and ensure accurate handover of all details to ensure that the customer experiences a seamless handover
4.Contact the customer to introduce yourself as their contact and to re-cap details and next steps, and subsequently retain regular pro-active communication with the customer.
5.Continue to work closely with other hotel departments as required to ensure communication of all agreed services and ultimately ensure customer expectations are met better if exceeded.
6.Manage the collection of deposits / pre-payments / credit authorisation in line with hotel finance policy.
7.Conduct menu tastings as appropriate to the event.
8.Assist customers with menu planning, food and beverage coordination, table arrangements, decoration options, room set-ups, staging, lighting, audio/visual, traffic flow, menu production, décor, entertainment, group room blocks, VIP services etc, liaising with 3rd party vendors as required.
9.Negotiate food and beverage prices, function space, and hotel services within approved departmental booking guidelines.
10.Confirm in writing to the customer and all affected hotel departments all detailed requirements via contract addendums, confirmation of pricing, group resumés, and/or function sheets.
11.Work in a timely manner to execute and distribute functions sheets and change logs to hotel departments.
12.Inform the proper department about amenity request for specified VIP customers obtaining designated approvals and following up on delivery.
13.Check room set-ups prior to customer arrival, ensuring all details are in agreement with customer’s requirements and hotel standards. Ensure deficiencies are corrected by appropriate personnel.
14.Plan and conduct pre-event, daily-de-brief and post-event meetings with customers.
15.Monitor and ensure all functions are set up, refreshed and broken down in compliance with scheduled times and department procedures, liaising with operations throughout the event to ensure delivery of customer expectations.
16.Review daily posting of charges, resolve any discrepancies in a timely manner. Follow up to ensure customer satisfaction.
17.Liaise with FOM on the preparation of the final bill, and ensure an accurate and timely bill is presented to the customer.
18.Ensure feedback received during the event and the post-event meeting is passed to the Pro-Active Sales Executive, and work with them to identify new business opportunities.
19.Maintain customer files and the sales and catering system, updating information in a timely manner.
20.Achieve budgeted revenue targets /incremental revenues and team sales goals, to maximise the profitability of the hotel while maintaining customer satisfaction
21.Carry out daily administrative / reporting tasks required ie forecasts, upselling, customer feedback, and other duties and special projects as assigned.
22.Promote teamwork and quality service through daily communication and coordination with other departments.

Candidate profile
Education and Experience
Minimum 2-years experience in similar role in comparable property with sizeable rooms and meeting spaces.
Preferred:
•Has demonstrated the ability to always work on behalf of Guests
•Has demonstrated the ability to work with other Team Members
•The ability to proactively sense and take action on customer needs and opportunities
