To ensure the smooth running of the Hotel operation at Night, in Front office, Rooms, Customer service and Food and Beverage related issues.



JOB SUMMARY

The Hotel Night Receptionist role will involve the check in; check out, some bar work after 1am, preparation and serving of early breakfast and general night audit duties. Primary Hotel Night Receptionist responsibilities will be to ensure the highest standards of service and guest cares are provided and that the night running of the Hotel is in line with Company standards.

JOB DESCRIPTION

Duties and Responsibilities:

  • Present a smiling and welcoming personality to the guest at all times.
  • Prompt greeting of any customer approaching the Front Desk.
  • Requests are handled in a polite, efficient manner and a high level of customer service is consistently maintained.
  • Ensure a high level of liaison is maintained between Front Office and all other departments within the hotel.
  • Ensure the system details go conform according to system and reservation documents.
  • Bring any discrepancies to the superior’s attention.
  • Prepare the arriving guest documents for filing.
  • File documents in the folio cabinet in correct room number order.
  • Handle foreign exchange according to company’s credit policy and procedures.
  • Ensure that all transactions are processed in the hotel system.
  • To provide our guests with prompt and efficient check in and check outs, to complete night audits and to check all daily entries from Font Office Cashiers.
  • Prepare and balance the cash float report after each shift and hand-over to the incoming shift.
  • Able to accept and input normal reservations outside reservation office hours.
  • Receive the outlet checks and compare against ventilation report.
  • Separate employee and member checks from the in-house guest checks.
  • Any missing checks will be outlined.
  • Prepare daily check summary for employee and member checks for accounting hand-over.
  • Answer the telephone promptly according to procedure.
  • Ensure messages/ faxes are delivered to the guest on time
  • Give out and collect keys to certain persons and departments against signature.
  • Assist Guest Relations with the welcome and escort of guests during peak hours.
  • Be familiar with all facilities and services within the hotel.
  • Ensure and maintain the security of information relating to customers and personnel in the hotel.
  • Responsible for the cleanliness of working area and equipment.       
  • Ensure health and security is maintained to guests and staff at all times.
  • Ensure that all equipment is in good working order and advise superior of any malfunctioning immediately.
  • Report any negative comments received form customers to the Night Manager.
  • Ensure a hand-over to the incoming shift as required.
  • Attend to work in a complete and clean uniform, neat appearance and grooming.
  • Comply with all company policies related to Front Office.
  • Handle all cash and payment transactions with utmost accuracy.
  • Handle travellers check transactions according to set procedures.
  • Balancing of cash and credit transaction.
  • The closing of cashier envelop.
  • Prepare for early departures.
  • Maximization of sales and revenue for the hotel by maintaining a sales attitude at all times and minimizing costs.


CANDIDATE PROFILE

Qualification:

  • Middle or Secondary Education + Additional  training or certificates in the relevant field.


Experience:

  • A minimum of 1 year of experience in hotel industry.
  • Proven experience working in a top luxury resorts.
  • Experience working in remote island locations is a plus.
