Responsibilities and duties for this position shall include, but not limited to the following areas and activities. At management discretion, direction may be given for tasks outside the scope of work described.

      1.General

  • At all times offer graceful, personalized and caring service towards all the guests as you are an ambassador of Constance Halaveli service philosophy.
  • At all times follows LHW and  LRA standards.
  •  To embody in all your interactions with guests passion and enthusiasm for service, focusing all attention to the guests.  
  • At all times exhibit good posture and an elegant demeanor, and  speak in a polite and attentive manner.
  • Always address the guests with their name, keeping an eye contact and smile.
  • At all times take ownership of guests request and do not refer guests elsewhere.
  • At all times adhere to the grooming and etiquette standards of the resort.
  • Always display punctuality and good attendance as an act of responsibility towards guest service and towards your colleagues .
  • Always be courteous, considerate, supportive and respectful towards other team members of FO and rest of the resort. Threat others as you would like to be treated. 
  • Ensure to keep yourself updates with role of FO in Fire, Tsunami and First Aid  standards , trough training.
  • Attend all the training you are assigned to within your department or on resort level.

 

      2.Work duties

  • Handles and ensures that all incoming calls, in house calls, routing calls from departments and guests, local calls, trunk calls, and long distance calls are handled in an efficient and courteous manner as per resort standards.
  • Handles all the job according to  LHW and LRA Standard.
  • Handles all incoming and outgoing resort and guest fax messages and keep them logged in fax log book as per resort standard.
  • Handles all incoming guest messages and keeps the copy in message log book , as per resort standard.
  • Ensure that all requests for wake-up calls are indeed fulfilled at the required time. Follow procedures by contacting security immediately if the guest does not answer a wake-up call or contact the duty manager.
  • Uses at your Wish  to log in all guests requests, complaints and solutions offered passed by Duty manager, Reception or other departments.
  • To follow up with the concerned persons if at your wish requests are not updated.
  • Uses At your Wish system to log in any guests request in regards to the rooms (items or maintenance request) , coordinates with other departments (HK,ENG, F&B) and follows up on request execution and guest satisfaction.
  • Prints guest documents needed for FO daily guest operation.
  • Ensure that daily tasks are performed according to check list provided.
  • Updates registration cards and inform of any amendments and changes.
  • Assist GRO with the necessary paperwork.
  • Attend trainings if required.
  • Ensure that all the equipment in the department is in working order and in good condition and the work area is clean at all times.
  • Reports to HOD/AHOD any defect in the telephone system and follows up on any needed repair.
  • Familiar with all department heads and other team members’ names and their extension numbers.
  • Ensure to be aware at all times of all emergency numbers (i.e. fire department, police department, doctor on duty, tsunami warning centers, department heads... etc.).
  • Protect guests’ privacy by not giving out the guest name or room number to the caller at any time.
  • Protect team members’ privacy by not giving out employees personal details to the caller at any time.
  • Assist in administration works when required 
  • Be aware of all daily functions or events happening in resort
  • Executes daily duties as per departmental and resort SOP’s
