Job description

Responsible for managing the day-to-day administrative duties for the Sales Team ensuring all communication, correspondence and management reporting is executed in a timely manner. Reporting into the Director of Sales and Marketing and the Director of Sales, providing a comprehensive, confidential support to the sales team and assisting in key projects and other ad hoc activities to ensure an effective operation.

• Works closely with the sales & marketing team members to develop knowledge of sales and marketing activities and planning.
• Takes a proactive approach to ensure the smooth operation of the department and anticipates potential challenges before they arise.
• Acts as liaison between the Sales/ Marketing and PR team members with customers when necessary, PCC Members, Heads of Department, Managers, Team members, ensuring all internal Sales, Marketing and PR messages are communicated and arranged as requested.

• Telephone operator for the department.
• Ensures customer requests are handled immediately should a Sales Manager be out on sales calls.
• Cover for office during absences/holidays/sales trips
• To input all client contacts into Opera for the sales team, this will be followed up by emails etc.
• Provides general administrative assistance and support to the Sales & Marketing and PR teams.
• Produces purchase orders for the Sales Team when needed.
• Assists with all sales trip organisation, collateral and catering etc
• Maintains inventory of collateral held in the office and ensures that all required collateral and catering for sales trips, exhibitions and events is arranged in a timely cost effective manner.
• Manage Site Inspection calendar and to coordinates competitor sites
• Arranges events for the sales team including but not limited to distribution of invitations, co-ordination of RSVP lists, meet/greet and co-ordination of the attendee lists and distribution of gifts/goodie bags.
• Arrange Familiarisation trips for the sales team from invitations, co-ordination of event, rooms allocations, gifts, etc.
• Provides cover/support for Co-ordinators to cover absences/vacations.
• Supports the hotel operation in times of demand, to ensure client satisfaction.
• Co-ordinates and manages internal and external meetings with external PR agencies and companies when requested.


Ideally a minimum of 2 years experience within the 5* deluxe hotel market whether in London or abroad.
Fluent in written & spoken English.
Experience working with Opera PMS System preferred.
Excellent attention to detail.
Strong communication skills.
Ability to prioritise and work to specific deadlines.
Excellent organisational skills and diary management.
Focused on providing consistently high standards of customer service
