Summary of Responsibilities:
Providing administrative support to the AccorHotels North & Central America team, the Legal Assistant responsibilities and essential job functions include but are not limited to the following:
 
  • Typing general correspondence and preparation of legal documents with attention detail to ensure accuracy
  • Proofreading and producing presentation materials, slides and other documents ensuring final product is error free
  • Photocopying, scanning, mail and couriers
  • Maintaining an effective filing system for all legal correspondence and documents
  • Maintaining a diary system to ensure proper completion and to track relevant dates for attention
  • Managing and maintaining contract and corporate databases
  • Planning and organizing meetings, conference calls and events, including catering, accommodation, facilities or transportation as required
  • Co-ordination of complex domestic and international travel arrangements
  • Preparation and submission of extensive monthly expense reports
  • Maintaining and updating the lawyers’ calendars
  • Managing submission, processing and queries related to legal department invoices
  • Communicating and interacting with internal and external contacts
  • Maintaining confidentiality of all matters occurring in the Law Department
  • Perform other duties as assigned
Qualifications:
  • Strong organizational skills
  • Ability to recognize and react to confidential situations
  • Ability to prioritize
  • Knowledge and understanding of legal documentation
  • Attention to detail and accuracy
  • Good telephone manner
  • Ability to work efficiently in a busy environment
  • Ability to collaborate and work effectively with others as an integral part of the Law Department
  • Ability to work with a high degree of independence with the ability to use initiative, multitask and manage workload and competing priorities
  • Exercise judgment in identifying issues needing immediate attention and in identifying additional information need to facilitate decision by lawyers
  • Strong interpersonal skills and professionalism required to deal with internal contacts (including all levels of management) and external contacts
  • Must be flexible and able to meet deadlines
  • Strong knowledge of Outlook, Microsoft Word, PowerPoint and basic knowledge of Excel. Exposure to technology including Apple products would be an asset.
  • Experience with e-billing software Serengeti would be an asset.
  • Completion of a certified Legal Administrator's program(or a higher degree/certificate) would be an asset
  • Legal Secretarial experience preferred.
 Visa Requirements: Must be legally eligible to work in Canada.
