Convention & Catering Services Manager

Summary of Responsibilities:
Reporting to the Director – Catering & Conference Services, responsibilities and essential job functions include but are not limited to the following: 
  • Consistently offer professional, friendly and engaging service;
  • Establish and nourish relationships with clients before, during and after the events, while consistently exceeding their expectation and develop loyalty;
  • Prepare, send, follow up on and file any relevant correspondence with clients for every group (reservation confirmations, schedules, BEO, events recaps, menus…);
  • Responsible of every aspect of the operations for every assigned group while ensuring a constant and efficient communication with the clients and every department involved (Banquets, Rooms, Activities, Audiovisual, internet, transports, restaurants…);
  • Obtain and confirm information related to the event (Including, without being restricted to, details of the meeting, audiovisual equipment, rooming lists, as well as technical, exposure and food & beverage needs, etc.) form and to the client, organize and distribute the group’s BEO, group recaps, event rooms plans, etc. to all departments and suppliers involved in a timely manner and with precision;
  • Optimize the space usage as to guarantee the best experience for every client and excellent financial results for the department;
  • Obtain guaranties for the reserved meals and follow up on any differences in the total of participants as to control food and labor costs;
  • Responsible for obtaining rooms confirmations and adjusting the number of rooms reserved so to have precise forecast;
  • Guarantee the maximization of the yield of the revenue per room and per meeting room and ensure profitability;
  • Initiate the billing procedures, make sure that all deposit or credit requests are received in a timely manner;
  • Host pre-con meeting with the client and all involved departments as to confirmation that all pertinent information is communicated;
  • Guarantee an exceptional guest experience for both the group and the planner during the event, by personal interactions and participating the functions throughout their stay;
  • Provide flexibility to adapt to long and irregular hours;
  • Participate in all necessary meetings within the hotel that involves the Catering, Banquets and Events department (BEO readings, 10 days meeting, communication meeting, etc.);
  • Responsible of the respect of procedures and due dates in accordance with the Convention & Catering control list (Service Essential);
  • Apply and respect the laws and rules regarding security and alcoholic beverages;
  • Act as the hotel’s ambassador to the local community;
  • Put forward creative ideas as to offer an innovative product and experience;
  • Maintain the brand’s high standards of service;
  • Maximize the team’s performance on the Voice of the Guest platform (VOG);
  • Other duties as assigned.

Qualifications:

  • 3 years of previous leadership experience within luxury market, and similar role, required;
  • Computer literate in Microsoft Window applications and relevant computer applications required (Micros Opera S&C, and Meeting Matrix preferred);
  • University/College degree in a related discipline required;
  • Excellent communication skills, both written and verbal required;
  • Ability to work days, nights and weekend; when necessary.
  • Strong leadership, excellent interpersonal skills, and problem solving abilities.
  • Highly responsible, reliable and ethical.  A reputation for honesty and integrity.
  • Results oriented and highly motivated self-starter.
  • Ability to focus attention on guest needs, remaining calm and courteous at all times.
  • Possess and/or obtain CMP/CPCE certification within three years.
  • Ability to work days, nights and weekend; when necessary.

Visa Requirements:  Must already be legally permitted to work in Canada.
