Reservations Coordinator
This is a Shared Service position which supports both Fairmont Singapore & Swissôtel The Stamford. The Reservations Co-ordinator receives reservations, changes and cancellations over various booking channels.  She/He attends to all guest enquiries about the hotel rooms.  She/He makes notes if necessary and channel them to the relevant department for follow up.
Hotel Overview: Strategically located in the heart of Singapore’s shopping, dining and entertainment districts and with the City Hall and Esplanade Mass Rapid Transit (MRT) train stations and other major transportation nodes at its doorstep, Fairmont Singapore and Swissôtel The Stamford are the gateway to explore Singapore’s landscapes at your convenience. With a total of 2,028 well-appointed guestrooms, both hotels offer a distinct collection of 15 lifestyle and dining choices including Michelin-starred fine dining restaurant JAAN, cutting-edge meeting space at Raffles City Convention Centre and one of Asia’s largest spas, Willow Stream Spa.
Summary of Responsibilities:
Reporting to the Director of Rooms Reservation, responsibilities and essential job functions include but are not limited to the following:
  • Manage group bookings in accordance with the company group booking procedures
  • Process all reservation requests, changes and cancellations received, keeping the Director of Reservations & Revenue Management team informed of any major changes to group blocks
  • Create Passkey Links
  • Enter group rooming lists into PMS and manage group inventory in liaison with the group booker
  • Monitor bookings from option period through follow-up on payment requirements
  • Coordinate with Front Desk on group folio and ensure all bills are signed and settled by bookers

  • To assist in maximizing hotel revenue promoting the hotel and services to all guests
  • Inform internal hotel departments of particular group needs to ensure smooth service delivery 
  • Keep up to date with all hotel products, services, pricing and current promotional offers as well as VIP arrivals and special events
  • Must be able to work any shift assign to include evenings, weekends or holidays as needed or requested
  • Actively participate in team meetings and ongoing training session to keep abreast of group details, procedures and policies
  • Follow hotel’s policies, procedures and service standards
  • Create reservation upon receiving rooming list and process revisions and cancellations
  • Initiate Group Resume 7 days prior to first arrival of each group.
  • Attend Group Spec Meeting to allow Front Desk, Concierge and Banquet to understand the groups’ requirements
  • Prepare Welcome Card and Welcome Amenities for VIPs. To hand over to Front Desk to follow through the orders 


  • 1 to 2 years of relevant experience
  • “O” Level or equivalent
  • Knowledge of Microsoft applications
  • Familiar in Opera Property Management System
