The Role of Catering Coordinator:

The Catering Coordinator is an essential member of the Catering team dedicated to providing exceptional quality and service to our guests. This position provides administrative assistance to Catering and Conference Service Managers assisting with contracts, BEO’s, and office administration.

Responsibilities:

Receive and respond to incoming telephone calls in accordance with Four Seasons Standards for quality, professionalism and friendliness.

Prepare accurate written correspondence including letters, contracts, reports, and banquet event orders, schedule of events, printed menus, and e-mails.

Update Hotel software for Sales & Marketing department, creating and updating bookings of events and prepare Banquet Event Orders.

Complete distribution of Catering correspondence to the Hotel operating departments as required, such as amenity cards, resumes and banquet events orders.

Maintain the various Catering file systems, both electronic and paper.

Operate a variety of electronic and manual office resources, including but not limited to laser printers, multi-function copy machines, fax machines, paging system, a bindery machine.

Maintain an inventory of all standard department supplies and printed materials, including but not limited to wedding packets and special menu cards.

Periodically assist with front of house operations including greeting and directing guests, manning hospitality desks and any special projects/action plans of events department as business dictates.

Participate in scheduled departmental and administrative meetings as requested.

Handle and execute event functions, solicit business and up-sell for services. Range of events handled: social events such as birthdays, family occasions, small weddings; Corporate: meetings and lunch/dinners for companies.

Execute site inspections when assigned by the manager with meeting planner and/or potential clients.

Coordinate vendor/supplier related the events planned, (i.e. Audio Visual, Florists, Entertainment, Transportation, DMC, Off-site Locations etc)

In the absence of the Catering Management Team assist clients and seek out solutions to requests in a friendly, caring and helpful manner.

Our Ideal Catering Coordinator will have:

Previous secretarial, hotel, and/or related experience. Food & Beverage experience is a plus.

Excellent personal presentation and interpersonal skills, an outgoing personality and a can-do approach to any request.

Attention to details, well developed organizational skills and a strategic thinking are requirements.

Ability to multitask, to work well under stress and a team work approach are a must.

Advanced computer skills and knowledge including but not limited to Excel, Word, PowerPoint and Internet.

Reading, writing and oral proficiency in the Italian and English language. A third language is a plus.

Legal right to work in Italy.
