REPORTING STRUCTURE

Reporting to Director of Residences.

     

SUMMARY OF POSITION

Coordinate all day-to-day efforts pertaining to Villa Operations on behalf of homeowners in accordance with all relevant contractual agreements and by-laws. 

                   QUALIFICATION/ REQUIREMENTS

  • College Degree
  • Several (5+) years experience in hotel/resort operation or property management
  • Several (5+) years experience in the supervision of employees and contractors
  • Willingness to work varied and flexible hours
  • Strong people leadership skills
  • Strong computer skills such as Microsoft Word, Excel and PowerPoint
  • A valid drivers license
  • Savvy organizer and planner, both, in the field and administratively
  • Strong written and oral communication skills.  Ability to communicate in a variety of written formats
  • Ability to sit for extended periods, bend, climb stairs & ladders, reach overhead and lift occasional boxes of up to 20 lbs
  • Fluent in English (spoken and written)

JOB FUNCTIONSHiring and training of new employees Administrating of payroll, PSAs, vacation planning, performance reviews, coaching and counseling Providing ongoing training and development for line staff and supervisors Nominating candidates for employee of the month Conducting monthly staff meetings including minutes Ensuring and instilling safe work habits and following up on work related accidents Maximizing employee motivation and  productivity by monitoring and enhancing work practices

Directing and controlling the activities of Villa Operations, homeowner occupancy, rental program, provisioning, and Homeowner’s Association Ensuring all homecare services provided by Villa Operations (housekeeping, landscaping, maintenance, accounting) are delivered in accordance with Four Seasons standards, agreements and by-laws Ensuring that annual, semi-annual, and quarterly neighborhood, villa, and garden inspections are conducted, summarized, and reported to homeowners.  Conducting project management, including villa refurbishments, on behalf of Homeowners by obtaining quotes, overseeing work and report progress Ensuring that all equipment, materials and tools are properly maintained, available when needed, secured during and after work Monitoring villa construction schedules. Liaising with Four Seasons Resort Estates on the furnishing, equipping, delivery and receiving of new homes and the refurbishment of existing homes Managing monthly check book of expenses Processing Purchase Orders and Work Orders as needed Ensuring that all expenses incurred by owners, including monthly utilities are certified and transmitted to the Accounting Department on a timely basis Conducting regular inventories of equipment, materials and tools belonging to the department - Ensuring proper and secure storage of all equipment Partaking in budget preparation process Ensuring efficient and economic use of materials, tools and manpower Suggesting, implementing and pursuing cost reducing practices Maximizing incremental revenue by suggesting improvements and enhancements of villa gardens to Homeowners Establishing and maintaining productive and harmonious relationships with other departments of Villa Operations as well as the Resort (Reservations, Front Office in particular) Establishing and maintaining good working relationships with third parties such as FSRE (Four Seasons Resort Estates, the developer) and their primary contractors, local and international contractors and vendors Maintaining the highest possible standards of protecting the environment Pursue and complete projects as assigned
