About the job



The Sales & Events Coordinator position is critical to the success of our business from a financial perspective and a guest, employee experience. This position will work with every department on property as well as with our customers throughout their journey with us from the inquiry stage to the securing the desire arrangements all the way through the execution of the program. The primary responsibility of this role will provide support for Hotel Sales, Event Planning, Event Sales handling very important information that is collect from our customers and the operation as well as distributing information to clients and the operation. This will require the knowledge and skill to work in multiple platforms and hotel operations. This role keeps the sales cycle moving while improving sales manager’s efficiency and productivity as well as nurturing the planning process and eventual execution of meetings and events.

Job Responsibilities:

  • The ability to create sales proposals and presentation
  • The ability to merge documents in Golden Sales and Catering
  • The ability to follow proper payroll procedures.
  • The ability to trace reservations and amenities.
  • The ability to run all required reports
  • The ability to type, input and complete other project work.
  • The ability to generate weekly, monthly and quarterly sales reports
  • The ability to scan and copy materials for sales and events
  • The ability to complete distribution of BEO’s and daily’s  
  • The ability to attend and participate in required meetings.
  • The ability to order all office supplies on a weekly basis for the office.
  • The ability to participate in the month end report.
  • The ability to complete all reports on a timely and accurate basis.
  • The ability to utilize the telephones according to Four Season's standards.
  • The ability to greet sales and/or sales clients and give them tours if necessary.
  • The ability to handle contracts and inquiries, both for tentative and definite groups.
  • The ability to take individual reservations.
  • The ability to produce meeting packets.
  • The ability to complete and process properly purchase orders.  
  • The ability to respond properly in any hotel emergency or safety situation.
  • The ability to perform other tasks or projects as assigned by hotel management
  • Complete birchstreet orders and PO’s
  • Complete BEO’s for in-house meetings
  • Generate invoices for deposits and prepayment
  • Distribution of the No-Show Reports
  • Morning Reports – Event Postings (day of + 2 days out – e-mail) - Next Day Banquet Checks
  • Distribute the Group Arrival Reports
  • Run & Distribute 10 Day Report
  • Complete conference request forms
  • Complete vendor order forms
  • Run daily distribution
  • Run change log
  • Prepare the BEO meeting
  • Assist in site preparation
  • Complete diagrams in social tables
  • The ability to conduct site inspections of both guest rooms and event space


Job Requirements:

  • Previous hotel/sales and events support
  • Previous phone experience and basic phone etiquette skills
  • Able to communicate and understand well in English through verbal and written skills
  • Well organized and able to prioritize in a busy environment
  • Proficient computer skills and knowledge in Microsoft Office products, Opera, Salesforce and other programs as needed
  • Adaptable and able to learn new skills and tasks efficiently
  • History of working in a team environment and developing working relationships
  • Open to constructive feedback
