Job Summary

Hilton Supply Management (HSM) uses their expertise to forecast and proactively manage our property''s supply chains, so hotel employees can focus on what''s important – the guest experience. With more than 6,000 hotels in our program (including over 1,500 non-Hilton-branded hotels), HSM drives massive economies of scale and negotiates competitive contracts with industry-leading suppliers – ensuring direct savings on the products their hotel partners use most. 

As the Senior Manager, Project Procurement, you will take direction from leadership to support the development of proposals, bids, quotations, or other documents describing organizational products and services in response to requests from prospective clients; collaborate with Hilton Supply Management (HSM) members of the sales, finance, legal, or project teams to ensure content is complete, accurate, and timely; recommend enhancements to the organization''s products or services based on inquiries from prospects. You will provide input to strategic decisions that affect the functional area of responsibility. You will obtain pricing from our operations group and/or our external partner network, schedule and run proposal kick-off meetings, facilitate key review meetings and/or final document review, coordinate proposal governance and/or sign off, document production, and deliver the completed proposal. Additionally, you will oversee estimating services to develop cost estimates and coordinate proposals for assigned estimating projects.

What will I be doing?

 Project Management

  • Using your proven organizational skills, knowledge of the bid process and experience working with cross-functional teams and securing large contracts to establish process for providing Requests for Proposals (RFP''s) and estimating activities
  • Overseeing resources and activities of Project Services and confers as appropriate with key stakeholders so objectives are accomplished and assesses actual performance against standards to determine whether the department is on target to reach its goals and takes corrective actions as necessary
  • Evaluating supplier performance within targeted markets
  • Reviewing and making appropriate adjustments in activities and expenses throughout the fiscal year to ensure optimal financial results to work within departmental and project budgets
Customer Focus
  • Using your attention to detail and their excellent time management and organizational skills to closely coordinate company executive involvement with customer management
  • Directing the coordination and review and/or edits of proposal input from a variety of stakeholders, typically involving contributions from sales, project teams, finance, and legal
  • Directing the delivery of compliant, professionally produced proposals and responses within customer defined timeframes
  • Using you excellent customer relationship skills to manage the cross-functional links between key stakeholders in company to plan, produce and deliver compliant proposals within a complex business environment
  • Creating pricing solutions that comply with customer requirements in order to achieve their ultimate goal of securing winning bids
  • Implementing and maintaining document management and other systems to collect and distribute key data from hotels and suppliers to brand management teams
  • Capable of resolving escalated issues arising from operations and requiring coordination with other departments
  • Ensuring communication plan as established by department head is properly executed
  • Directing coordination and review and/or edits proposal input from a variety of stakeholders, typically involving contributions from sales, project teams, finance, and legal
  • Conducting effective management and communication between third party partners, Hilton, and individual constituents
  • Coordinating program development and assisting in communicating program to third party partners, Strategic Sourcing, Hilton, and constituents
Strategic Planning & Execution
  • Using your experience to effectively executing strategic plans in partnership with their senior leadership to direct the development and administration of product and service initiatives leading to steady flow of revenue to cover expenses
  • Creating functional strategies and specific objectives for the sub-function and developing budgets/policies/procedures to support the functional infrastructure
  • Directing maintenance of cost data base and provides historical data based on requests
Leadership & People Management
  • Leading the development of transformation of Team Members to create an environment that encourages active participation and teamwork with paths for advancement and improvement
  • May directly manage a coordinator level role
  • Prioritizing and organizing the assignment of tasks, while ensuring optimal allocation of resources
  • Translating organizational goals and objectives into performance standards for department and individual positions

What are we looking for?

To fulfill this role successfully, you must possess the following minimum qualifications and experience:

  • BA/BS Bachelor''s Degree OR Associates degree with seven (7) years of work experience in Procurement, Design Project Management or related field
  • Five (5) years of work experience in Procurement, Design Project Management or related field
  • Five (5) years of Purchasing and/or Procurement or Design Software experience
  • Two (2) years of managerial experience
  • Proficiency with Microsoft Office suite
  • Advanced proficiency with Excel, specifically with creating calculations
  • Ability to travel as required

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

  • MA/MS Master''s Degree in Business Administration
  • Seven (7) years of work experience in Hospitality Procurement and/or Project Supply Management
  • Four (4) years of managerial experience
  • Willingness to achieve CPSM (Certified Professional in Supply Management) or other supply management certifications during the course of employment
