Scope of Position

The Director of Spa & Recreation is responsible for, but not limited to, the overall spa and fitness staff and functions and supporting  and executing all Corporate initiative. Under the guidance of the Hotel Manager and within the limits of the Waldorf Astoria Policies, ensure that all operational procedures, codes of conduct and standards of appearance, are adhered by all spa colleagues. Create a positive and motivated team and ensure the atmosphere in the spa is Waldorf Astoria standard at all times.

 

Organizational Structure

The Director of Spa & Recreation reports directly to the Hotel Manager. 

 

Duties and Supporting Responsibilities

 

  • Director of Spa & Recreation takes reservations when necessary.
  • Handle guest complaints to the complete satisfaction of the guest when required.
  • Oversee the retail sales operation; ensuring that inventory is available and sales are recorded accurately.
  • To supervise the safety of users and equipment of the spa and fitness center to ensure that the FLHSS requirements and procedures are adhered to.
  • All hotels are reviewed by mystery shopper reports and it is expected that WALAS will record high scores.
  • Treatment room checks will be undertaken reviewing trolleys, closets, upkeep and equipment.
  • Regular inspections of the entire spa and fitness facilities taking immediate remedial action as required.
  • Continually monitor standards and facilities to ensure that the spa is up to date on criteria required for AAA 5 diamond and Mobil 5 star ratings.
  • Managing email correspondence on a regular and timely basis.
  • Participate in regular and ad hoc meetings as required and to maintain spa department meetings as follows at a minimum; monthly department meeting, weekly planning meeting for spa management team, daily line up meetings, weekly training meeting with head therapist, weekly operations review with Hotel Manager, monthly Sales and Marketing meeting.
  • Manage projects and any other reasonable duties as required by hotel management.
  • Responsible for setting the annual spa budget
  • Review daily revenues and track progress against budget and forecast and adjust operations accordingly.
  • Prepare month end financial and statistical reports.
  • Work with budget goals and spreadsheets by understanding desired service/retail percentages and overall cost management
  • Manage payroll affectively according to business levels.
  • Review stock checks at month end and supply data to finance.
  • Ensure that purchasing is in alignment with budget and business levels.
  • Work with Purchasing on all purchases required and process purchases in accordance with hotel procedures.
  • From time to time it may be required to implement contingency plans when business is exposed to unusual factors such as war or poor economy.
  • Responsible for writing the annual Marketing Plan.
  • Responsible for promoting the spa to hotel guests and locals to maximize profitability.  It is necessary to be proactive and determine when new marketing ideas need to be developed quickly to react to market conditions.
  • Participate in all spa PR related activities such as industry conventions, trade shows, media events, radio and TV interviews
  • Regularly create packages and new treatments to ensure that the spa is able to generate significant PR coverage on an ongoing basis.
  • Work closely with sales to ensure that site inspections are seamless and to work closely with the requirements of all group leaders.
  • Assist with the development of advertising and promotional materials for the spa.
  • To be responsible for the recruitment, induction, training, development, appraisal and discipline of all spa colleagues. It is necessary to have a clear understanding of personnel rules is accordance with the State of Las Vegas and human resource policies
  • Perform annual performance reviews for all colleagues, encouraging and coaching to develop each colleague to their full potential
  • Set realistic annual goals for all colleagues
  • Will be responsible for timely documentation and the discipline of the staff members in accordance with the progressive disciplinary procedures outlines in the HR Policy and Procedures guide.
  • Complete responsibility for all training and tracking of departmental standards and LQE standards
  • Review SOPs to ensure that they are current.
  • Regularly complete therapist reviews.
  • Meet with all new heads of departments and give a tour of the spa and explain the philosophy and culture of the Spa. Relate the training to their point of view. If available schedule a treatment to allow clear understanding of Spa experience and how to relate this to a guest.

 

Requirements

 

Mandatory

 

  • Minimum of 5 years prior spa management experience in a luxury environment
  • Written and verbal proficiency in the English language.
  • Work a flexible schedule in order to accomplish all major responsibilities and tasks. 
  • Must work in a safe, prudent and organized manner.
  • Must have mathematical skills, technical aptitude and spa operation knowledge.
  • Must have basic knowledge of computer programs including Excel, Microsoft Word and Microsoft Office Administration, Power Point and Internet applications.
  • Must have knowledge of current spa trends in the industry
  • Must be able to relate to all levels of management and colleagues.
  • Must have excellent interpersonal and communication skills, able to network with contacts relevant to the Spa.
  • Lead by example and be a mentor for all spa colleagues to follow.
  • Must have technical awareness and knowledge of a wide variety of treatments particularly for the face and body.
  • Must have knowledge of holistic concepts that relate to the well being of all guests in a spa environment.
  • Must be open to learning about treatments and concepts that derive from other cultures.
  • Must have knowledge of effective leadership techniques.
  • To set a standard at all times in professionalism, appearance and attitude as expected of all spa colleagues.
  • To be adaptable and accountable for all actions.
  • Must be capable of performing presentations and training.
  • Must have good delegation skills to effectively have many projects running at the same time.
  • Must understand the current legislation in regards to State laws for therapists.
  • Must have an understanding of human resource policies in the State of Las Vegas
  • Consistently strive for a higher level of achievement both personally and professionally

 

Desirable

  • A thorough knowledge of the luxury Spa industry
  • Prior experience in staff development
  • Prior Opening experience strongly preferred
  • College degree strongly preferred
  • Knowledge of specific spa industry applications is desirable.
