The Food and Beverage Administrator is responsible for assisting the F&B Departmental Managers with various administrative tasks, with a key focus on;

  • Coordinating of (group) bookings and inquiries of the various Food and Beverage outlets.
  • Supporting Night Club Management with the handling of reservation inquiries and general admin tasks including reporting and billing.
  • Assisting and covering the F&B Cost Controller
  • Assist the Food & Beverage Director with various administrative tasks and projects
  • Training admin support

All with the aim to deliver an excellent Guest and Member experience while working with the team to ensure departmental targets are met.

 

SALES & GUESTS SERVICE

 

  • Achieving budgeted sales and ensuring that all employees know the targets of the department, including the monthly sales targets.

       Take careful note of guests’ requirements and take these into consideration

  • Handling of (individual) reservation and table bookings for the night club Wyld by Nature in a timely manner.
  • Support with the handling of (individual) reservations for Trader Vic’s on days the Team is off.
  • Support with the handling of (individual) reservations for Podium / CC Bar coming in via telephone during peak times.
  • Support the departmental managers in the handling of group bookings including inquiry handling, site inspections, event planning, contracting and handling of payments.
  • Support the departmental managers to ensure the content on our advertising platforms is always up to date and appealing.
  • Efficient handling of guests’ complaints and their follow-up.

Support the departmental managers in the monitoring and responding to (online) guest feedback received

 

Planning, Organisation & supervision

 

Ensuring a smooth service at the highest standards of quality in all aspects of the operation, guaranteeing that brand values and standards are never compromised

  • Obtain information daily on the occupancy of the hotel and the activities in the hotel.
  • Prepare Food & Beverage outlet business and event update for weekly operations meetings.
  • When required; support team members on the floor on a supervisory level in all F&B outlets.

Is to see himself as an active link between the kitchen and service and is to ensure good communication.

 

CLEANLINESS AND TIDINESS

 

An organised front and back of the house, team members dressed according to standards.

  • Monitor the proper ordering of all goods required and their storage under clean and correct conditions.

Supervise and monitor the external appearance of staff and correct if necessary.

 

Aministrative tasks & FINANCIAL PLANNING

Specifically for Wyld by Nature:

  • Updating of menus and event brochures when required, including the updating of the POS system.
  • Submitting of the flash for the Night Club to the accounts team and partners on the agreed dates and times.
  • Ensure reservation system records match the flash
  • Weekly communication of Cash in Till for the partners of the Night Club.
  • Ensure accurate recording, communication and billing of the discounts
  • Ensure accurate and timely billing and payment of contractors, partners and suppliers of the Night Club.
  • Support club management with the accurate recording and billing of (casual) hours worked
  • Coordination and supervision of any weekday, daytime activity in the Night Club.
  • Prepare the weekly agenda including last weeks’ performance figures for the weekly operations meeting for the club. 
  • Follow-up on lost property

General:

  • File documents received in the files provided for the purpose (e.g. event orders, memos, reports).
  • Handling of relevant invoices according to the hotels’ standards and procedures; Reviewing the PTP list on a weekly basis, communicating any F&B related invoices that require follow-up with the relevant outlet managers.
  • Generally assist with and able to independently complete a series of tasks (holiday cover) which fall under the responsibility of the F&B Cost Controller including but not limited to general reporting tasks, controlling the beverage stock / cellar management and Agilysys requirements

Is to assist the Director of Food & Beverage with administrative tasks and projects.

 

EMPLOYEES

  • Organise and motivate staff to ensure guest satisfaction and that the financial performance of the department is guaranteed.
  • Support the departmental manager and team trainers with the admin of all required trainings in preparation for QA and other audits.

Communication

  • Is responsible for ensuring that the necessary communication with senior staff, junior staff and staff at the same hierarchical level is efficiently guaranteed.
  • Read and take account of all directives and information received.

Contact the departmental managers, Guest Relations Managers, Director of Food & Beverage or the Duty Manager if any problems occur.

Safety & Security

  • A safe environment for our guests and Team Members at all times
  • Is responsible for ensuring that the rules of hygiene are observed and the HACCP guidelines are followed at all times.
  • Ensure independently that the safety and security regulations are observed.
  • Monitor the observance of preventive measures for accident prevention.
  • Notify events (e. g. accidents, health problems) to the emergency centre immediately and fill in the Incident/ Accident report correctly and completely and pass the documents to the relevant departments and persons.
