Your day to day

Maintain vendor portfolios in the supplier contract database (SharePoint & ServiceNow) to include signed copies of RFPs, SOWs, MSA’s, PCRs, and CCRs as well as meeting minutes, reports and PowerPoint presentation decks.


Review any changes (CCR/PCR) to the contract are made in accordance with the base agreement (MSA) and the interests of the company, and that an audit trail is maintained. Raise and communicate issues.


Schedule routine performance/operational meetings with key suppliers. Participate in weekly, monthly, or quarterly performance meeting with third party vendors and internal business customers.


Produce meeting agendas, minutes, and action item registry. 


Assist in reviewing, updating, or developing RASCI matrices, management escalation contacts, and any VM documentation or knowledge articles which are owned by us. Formulate workflow processes, and create/maintain project documentation.


Coordinate with internal and external resources to collect and analyze metric outputs. Validate alignment to business requirements. Validate calculations of metrics are accurate and consistent. Raise and log noteworthy successes or concerns.


Drive to collect and organize data for trend analysis purposes. Provide analysis findings, and raise and log issues that must be addressed as a continual improvement effort.  Assist with communication and documentation of supporting data or recommendations to stakeholders.


Participate in the development of key reports, ad hoc, and presentations, as well as validate/pull parallel metrics and data to align with expected vendor invoices (weekly, monthly, and ad hoc as required).


 


Participate in the development of project plans for development/enhancements/implementation of programs or systems for EUS.  Establish and monitor key milestones of project progress, and ensure project team members, internal departments, and/or hotel contacts, remain aware of project status regarding deadlines, dependencies, budgets, schedules, and other resources.


Create and maintain comprehensive project documentation.


Track budgets as needed for projects and/or department operations.  Maintain ongoing tracking of spend and forecasts.  Communicate to finance department and prepare logs and reports as warranted.  Monitor and analyze the utilization of contractors and outside vendors/services, in accordance with billing and reporting procedures. 


Assist in analysis of projects and tracking to ROI.


Provide additional planning and project support to include coordinating travel and meeting logistics, assisting in the development of agendas or program materials, presentation materials and/or vendor involvement.  


Create, develop, and/or maintain systems for acquiring and evaluating relevant research, trend tracking and competitive programs and/or compiling available internal data.


Perform analysis and reconcile data discrepancies in particular with Terminal Maintenance.


Provide research outputs and communications to internal departments &/or hotels relative to Terminal Maintenance discrepancies (EUS revenue fund).


Reconcile monthly terminal maintenance revenue forecast vs actual validation.

What we need from you

Education


Associate Degree or Bachelor''s Degree or an equivalent combination of education and work related experience.


Experience


2 – 5 years progressive work related experience with demonstrated technical proficiency and understanding in one or more of the specialized functions related to the position.


Technical Skills and Knowledge


Demonstrated comprehension of vendor management terms and concepts.


Demonstrated ability to understand contracts and solutions in relation to current and future business environments.


Demonstrated strong PC skills including proficiency in a variety of software packages (i.e. Microsoft Word, Excel, MS Project, PowerPoint, Access, Outlook, and O365 Teams, SharePoint, One Drive).


Demonstrated financial and business analysis skills, and demonstrated ability to analyze operating, forecast, and budget information.


Demonstrated effective verbal and written communication skills for the purpose of providing and explaining technical information to clients, vendors, senior management and staff.


Demonstrated ability to handle multiple assignments and projects accurately with attention to details.


Demonstrated project team experience including planning, tracking and assimilation as well as compilation of project data.


Strong organization skills, adaptive to change, good listener and tenacious as the situations requires.


Decision making responsibilities


Create project plans, presentations, milestones, schedules and timelines to implement projects. 


Review project timelines, deadlines, and budgets.


Ensure strategies and implementation practices are in compliance with antitrust regulations, ADA requirements, federal, state and local ordinances, etc.


This position makes decisions concerning gathering and formatting of content for major presentations, identifying effective systems for capturing and tracking of data, etc.


Key Relationships


Project teams and related internal departments throughout IHG - to communicate project and budget status, gather information, track and report on data or trends, coordinate implementation, etc.  (Internal departments may include Finance, BSC, Brand Performance, Brand Marketing, Franchise Operations, Revenue Management, Reservations, Property Management Systems, Unified Compute, End User Compute, etc.)
