About the Role
 
A fantastic opportunity has arisen for a Coordinator to lead operations in Rooms Reservations within the Madinat Jumeirah Resort.  The main purpose of this role is to ensure accuracy and quality input of all the information related to group reservations in both PMS and Delphi. Coordination between the organizers and the different departments in Madinat Jumeirah Resort to ensure smooth arrival and departure of the group as well as any other request is answered and fulfilled. Ensuring all Administrative tasks is performed accurately on a daily basis.
 
Your main duties will include the following:
 
  • Required to represent the company by applying Jumeirah’s Hallmarks and Guiding Principles and by following the standard operating procedures.
  • To handle group bookings and ensures accurate details are being entered into the PMS.
  • To ensure information transparent between both PMS and Delphi to avoid any kind of lost of revenue or overbooking situation.
  • Prepare the GIS for all the handled groups with highlighting of the VIP’s special requests.
  • To work very closely with the Revenue Manager and MICE Team to maximize the hotel’s overall revenue by offering the right price to the right customer at the right time.
  • To update groups rooming list, guest flight details, special requests in the PMS and communicate with all concerned accordingly.
  • Prepare the addendums for the group contracts based on one main addendum before the last deposit is received.
  • To maintain a copy of all groups correspondence as easy reference.   
  • To carry out follow ups for any pending rooms on the block and report any release/cancellation to the Revenue Manager and Assistant Reservations Manager.
  • To coordinate with MICE and Events team for upcoming groups, conference and conventions.
  • To attend pre-function meetings in order to collect most updated information for any group movement for the current and upcoming months.
  • To follow up on deposits for the definite groups as per the schedule outlined in the contracts and update accordingly.
  • To maintain accurate forecast for all the upcoming groups for the next three months with follow ups for rooming list and release of rooms which has not been picked up.
  • To monitor the cutover dates of tentative groups and update the Revenue Manager and Assistant Reservations Manager.
  • To follow up on the rooming list for definite groups for the current month.
  • To carry out importing groups from Delphi to the PMS on a daily basis.
  • To ensure that all imported blocks on definite and tentative status hold a rate code in order to forecast the group Revenue during the preparation of forecasting by the Revenue Manager.
  • To ensure that the Market Segments for the Groups are updated after the import has taken place.
  • To balance the inventory to avoid overbooking one particular room type.
  • To ensure that the block grids are always balanced and cross check the same with the group contract.
  • To ensure that the Rooms Reservations team are aware of the Group movement for the current and next month.
  • Ensures that all activities adhere to and support the Jumeirah Quality Management System.
  • Keep a proper filing system on Mercury (Intranet) for all the groups’ history like GIS, group files and any changes.
  • Any other duties as may reasonably be requested by the management.
  • Support Department’s KPI.
About You
 
In order to be considered for this role you will have gained a degree or equivalent in Hotel Management from an internationally recognized institution. A minimum of 2 years experience working in five star hotel in a management role is essential. You will already have demonstrated your ability to deliver great commercial results and to manage and inspire a great team.
 
You will also possess experience of working with diverse cultures and have very good written and verbal English language skills. Proficiency in computer software systems such as MS Office is essential.
