Job description

Essential Functions
• Completing forms for companies requesting rates and detailed hotel information. (ex. Photos and hotel presentation)
• Help in administrating Lanyon under the supervision of Sales Team members.
• Entering customer information into contact management database (Opera) & updating corresponding activities.
• Administration of sales departments internal documentation (ex. Keeping the sales folder organized and updated)
• Help Sales Team in preparation of material for internal meetings. (ex. Rooms availability report for Groups meeting)
• Weekly actualization of the sales white-board with the information from Three Month Forecastreport. (Corporate & Wholesale)
• Assist with Fam Trips: Preparation of the material, make reservations in MiTenedor, etc
• Site Inspections: Prepare relevant material (ex. Company information, account production); assist sales team members during the inspection, if required.
• Sales Trip support. Travel Planning for the Director of Sales and the Sales Team. (ex. Attendance Forms, TAF, gathering useful information about the company, post documentation.) Helping to close the appointments agenda.
• Assist with organization of client’s events, attending them and where applicable.
• Gathering information on weekly activity of sales team members to use in Monthly Letter.
• Prepare clients correspondence & mailing. (ex. Preparation of the Excel spreadsheet for Mass Mailing shots)
• Regular update of the Hotel Presentations and iPads.
• Co-ordinate VIP care, complimentary and vouchers forms between Sales and Reservations departments.
• Maintain stock of sales departments material updated
• Work with other departments within the hotel to provide quality service to customers.
• To project a pleasant and positive professional image to all contacts at all times
• Manage cultural needs and expectations of guests
• Maintain and adhere to billing policies and procedures
• Maintain positive teamwork at all times
• Taking care of meeting professionals during their entire on-site experience, facilitating last minute changes and issues with operational departments
• “Voice of the customer” to the relevant departments on behalf of the customer, in a timely manner
• Sound writing skills
• Project a pleasant and positive and professional image to all contacts at all time
• Understanding and effectively managing needs and expectations of different groups utilizing hotel
• Reviews all relevant written communications (Function Sheets, Function Report) and verifies accuracy of room sets.
• Preparing daily to-do list, making note of all group contacts, meeting rooms and start times
• Making reservations, transport arrangements etc to key accounts
