Overview of Position

It is the mission and intent of this position that the incumbent will assist the Director of Finance & Assistant Director of Finance in processing invoices and managing vendors relationships as the key Accounts Payable contact.  Analysing, compiling, and reporting, data related to cash requirements to pay vendors.  This individual will present suggestions for improvements and meaningful solutions to processes and procedures, as they occur.

This position entails conducting continuous verification of invoices, statements, and credits received, resolving any discrepancies with invoices, statements, credits and/or vendors, travel agents or any departments within the hotel.  This also includes maintaining the expenses on the general ledger and purchasing software, and preparing payments with proper documentation for signature. The position will also be assisting the Assistant Director of Finance in performing checks and balances on payroll processing and analysing labor productivity for each department.  Other duties include assisting in the month end closing process and balance sheet reconciliations.

Essential Function

  • Ensures sequential log record of all purchase orders issued, completed and outstanding in the accounting software
  • Reviews open purchase order file, checks on past due invoices weekly, investigates and resolves any outstanding issues
  • Review requisition orders, monitors department’s check book and controls expenses based on budget.
  • Obtains original copies of all purchase orders and matches same to related receiving materials
  • Verifies receipt of all materials listed on invoices and statements received from vendors and suppliers
  • Review vendor statements on a weekly basis to ensure all invoices and credits from each vendor is entered and accounted for
  • Performs accuracy verification of items received, against purchase order and general ledger accounts
  • Reports deviations from established purchasing/receiving procedures to AP Supervisor and Director of Purchasing
  • Posts and inputs invoice data into accounting software on a daily basis; verifies data is accurate
  • Performs file maintenance activities for purchase orders, receiving documents, signed check copies, computer print outs and other documentation pertaining to accounts payable operations
  • Reconcile voided checks on a monthly basis to ensure proper voiding procedures and check sequence is in numerical order without any numbers missing.
  • Reconcile vendor changes in the accounting software to ensure accurate procedures and changes have sufficient supporting documentation. 
  • Assists in end of month closing process, including payments, reversals, and accruals
  • Assists in the performance of annual audits and purge of files
  • Other duties as assigned

    AP responsibilities:

  • Payroll Oversight and Balance Sheet Reconciliations:
  • Perform audits of every payroll according to CSAQ guidelines.
  • Analyse labor trends and productivity for all departments based on statistical reports. Assist department heads in managing employee’s salaries and wages to budgeted revenues and hours.
  • Assist in completing assigned balance sheet reconciliations.
  • Other duties as assigned.


Requirements

Mandatory

  • Experience in Accounting Proficiency with all Windows Based software Applications. 
  • Strong level of proficiency in Excel
  • Effective time management, organizational and communication skills
  • Ability to work flexible schedule to include weekends and holidays


Desirable

  • Bachelors Degree in Accounting, Finance, Hospitality or other business related field of study Experience with SunSystems, Adaco, Datavision, Ascentis is a plus.
  • Experience with SunSystems, Adaco.
  • Strong Team Player, enthusiastic to learn and accomplish the Finance Department & Mandarin Oriental Overall Goals.
