Job description

ADMINISTRATION
- Answer to the telephone, taking and forwarding messages
- Manage mail, fax and courier assigned by the Project coordinator or manager
- Correspondence with customers & suppliers
- Management and monitoring of billing customers and suppliers
- Participation in the preparation and drafting of various reports
- Creation of standard letters
- Accounts reconciliations for hotels, customers and registration

HOTEL OPERATIONS
- Processing of hotels applications for groups and individual participants (including the allocation of rooms, modification, cancellation, reception and payment management)
- Management, seizure, insertion of rooming lists for the different hotels – supporting and helping groups
- Management and seizure of the hotels modifications
- Onsite management of new bookings, late modifications, no shows and early departures
- Preparation of hotel promotional documents
- Onsite housing promotion

REGISTRATION OPERATION
- Creation of different types of record in the computer system
- Processing of registration for individual and group participants (including tours, social program, different courses etc .... And the receipt and management of payments)
- Control, seizure, inserting lists of names for the output of badges
- Preparation of documents for participants – organising the onsite badge collection

VARIOUS
- Updating phone lists, e-mail, fax etc...
- Courier, equipment orders, etc...

Requirements

- Excellent knowledge in English (both in written and speaking)
- Intermediate level in French (both in written and speaking)
- Excellent knowledge in Excel, Word and Outlook
