PRE-EVENT OPERATION
- Support to the Account Manager and / or Project Manager in the project management
- Processing requests of meetings and events: find hotels, restaurants and various service providers
- Negotiating prices with suppliers
- Development of client offerings according to guidelines in place
- Control and management of time from suppliers
- Development of budgets with the assistance of the Account Manager and / or Project Manager
- Organizational works for the preparation of the events
- Preparation of bills (deposit) to customers

EVENT OPERATION
- Logistical support on site with various interlocutors
- Support the Account Manager and / or Project Manager on site
- Writing report, notes, statistical processing

EVENTS AFTER OPERATION
- Preparation of final accounts and invoices
- Support the Account Manager and / or Project Manager for project closure

ADMINISTRATION
- Answer telephone, taking messages and forwarding
- Manage mail, fax,...
- Drafting correspondence for customers & suppliers
- Management and monitoring billing of customers and suppliers
- Participation in the preparation and drafting of various reports

OFFICE SUPPORT
- Ensure office supplies (water, coffee, paper, toner, cartridge, stamps, etc…)
- Manage office entrant calls
- Coordinate recycling in the office
- Manage office service suppliers: cleaners, electricians, etc…
- Ensure office tidiness
- Coordinate simultaneous internal activities in Basel based on Geneva office internal activities

Requirements

Excellent knowledge in English (both in written and speaking)
Excellent knowledge in Excel, World and Outlook
Excellent personal presentation
