Job description

* Maintain a simple and easily retrievable filing system and keep it updated by putting in all possible efforts to complete filing on daily basis. A listing of files must, at all times, be available and kept updated.
* Preparing vacation planning, training program lists approved by Director of Finance & Admin/ Chief Accountant, filing assessment of each finance staff and archive maintenance.
* Each and every paper passing through the Finance Coordinator must be read thoroughly and then stamped. Identify source of documents
* Should independently draft all correspondence (memos, letters, faxes)
* Issue cheques to the suppliers, logged the issued cheques in the cheque
register. Daily balance the bank position and daily forward it to Chief
Accountant for his review.
* Maintain a daily Organiser
* Always maintain an updated Admin Finance Calendar. Follow up from finance
staff regarding their outstanding reports
* Maintain a trace file which should be checked every morning and papers kept
for the immediate attention of the DOF. Where possible, follow up with the
concerned persons should be done by the Coordinator and Director of
Finance and Administration informed of the outcome.
* Issue minutes of the Accounts/Credit Meeting within 48 hours
* To update and maintain Hotel / Accor policies & procedures files
* Interact, coordinate with personnel in the Accounting Office and other
departments
* At all times, the Coordinator should be aware of the where-abouts of the
Director of Finance and Administration / Accounts Staff
* Maintain and update Key Cabinet in the Accounts Office
* Follow up on messages given to the Director of Finance and Administration
on timely basis
* Sorting of mail, other administration work
