Rosewood Miramar is looking for a Part-Time Purchasing Clerk to join the Purchasing Team!



Overview



This position will be responsible to receive and document all goods and materials ordered by the Purchasing Agent. The Purchasing Clerk will assist with the receiving of food, beverage, and general products for the Hotel’s Operating Departments. Fulfilling and delivering product requisitions as needed.



Essential Responsibilities





Provide accurate and efficient receiving of products and packages from all hotel vendors and guests.

Ensure timely delivery of guest and employee packages.

Determine if inventory quantities are sufficient for needs, updating supervisors when necessary.

Respond to customer inquiries about order status, changes, or cancellations.

Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.

Fulfill requisitions - accurately, and on a timely basis. Updating status in the Hotel procurement software system. Make delivery of requisitions as required.

Additional duties as necessary and assigned.



Requirements





Customer and Personal Service — Knowledge of processes for providing customer service including internal customers.

English Language — Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

Mathematics — Knowledge of basic arithmetic

Administration and Management — Knowledge of basic business principles involved in resource allocation, production methods, and coordination of people and resources.

Computers and Electronics — Knowledge of basic Windows Microsoft Office Software, Excel, and the aptitude to learn Hotel procurement software – BirchStreet Systems Software.

Be known for being honest, reliable, confidential, and trustworthy.

Ensure guest and employee privacy and security by respecting confidential information

Carry out any reasonable requests made by the manager and other members of the management team in a timely manner.

Be proactive, ask questions, and be responsible for the action or lack of action.

Job Requirements: Qualifications



Experience                            





Prior experience in a purchasing department within the hospitality field.



Education                              





High school diploma and hospitality background



General Skills                       





Strong verbal and written communication skills, able to work quickly and accurately at all times; adaptable to a range of activities in any given day – an effective team worker; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good directions thoroughly; understand a guest’s service needs; work with minimal supervision; maintain the confidentiality of guest information and pertinent hotel data.



Technical Skills                   





Basic math skills; ability to operate a computer system.



Language                               





Required to speak, read and write English, and do basic mathematics.  Bilingual in Spanish preferred



Physical Requirements





Must be able to exert physical effort – safely lift and carry a 50 lb bag - endure various physical movements throughout the work areas, reach up and down.



Health and Safety





Ensure that all potential and real hazards are reported immediately and rectified.

Ensure that chemical or other agents are handled in accordance with the manufacturer’s guidelines.

Know and enforce the resort’s and department’s security policies.

Ensure work area, materials, and equipment are maintained in a clean and tidy manner.
