The Role
Office Manager

The role of Office Manager will be to support SiteMinder through the organization and coordination of office operations and procedures. The Office Manager is responsible for organizing all of the administrative activities that facilitate the smooth running of the SiteMinder office.

As an Office Manager, you will:

  • Ensure that SiteMinder's office services are maintained by organizing office operations and procedures, including correspondence, filing, office maintenance, supplies and other general office functions.
  • Meet and greet all visitors to SiteMinder's office, notifying the relevant employee of the visitor's arrival.
  • Ensure that all employees have the correct access to the office and that employee badges are distributed, tracked and recorded.
  • Take responsibility for booking all travel for SiteMinder employees, including domestic and international transport, flights, accommodation and travel insurance, following SiteMinder's Travel Policy. Modify travel arrangements as needed.
  • Organize office events, functions and meetings, including venues, food, transportation and communication with the necessary parities.
  • Order and maintain correct levels of office supplies and equipment, such as stationary, food and beverages, and other kitchen supplies.
  • Take responsibility for petty cash, ensuring that receipts are kept and balanced.
  • Collect SiteMinder's mail on a daily basis and ensure all outgoing mail is dealt with in a timely manner.
  • Ensure the office maintained at a high standard that is compliant with Occupational Health and Safety laws, contacting custodians, building management or third parties when needed.
  • In conjunction with custodians, maintain the kitchen and common areas at a hygienic level and take responsibility for the dishwasher, coffee machine, refrigerators and other appliances and trash bins.
  • Run general errands and complete administrative tasks, including data-entry as required.
  • Communicate with all SiteMinder employees, providing regular updates on events or issues.
