Job summary:
In this role as Mice Event Coordinator, you will report to the MICE manager or director of sales & marketing. You have a clear view of the M&E business in Brussels. You know how to qualify the leads and how to confirm with them. You know that the key point of your job is to understand the clients and go beyond their expectations for their M&E experience at Tangla Hotel Brussels.

Duties and Responsibilities:
• Co-create the M&E strategy and client experience with DOSM.
• Apply the M&E strategy.
• Achieve budgeted goals for Meeting & Events (Banquet) and Group segments.
• Investigating client’s needs in order to personalize offers, evaluate business interests and match client’s expectations.
• Processing and analysis of customer requests.
• Qualification of requests by telephone.
• Creation of sustainable relationship with clients.
• Personalized follow-up and commercial negotiation.
• Handle its own client portfolio (with one of the sale).
• Ensure other departments collaborating on the organization of the event.
• Performing site inspections with the Meetings and Events customers as part of the selling process.
• Follow up all projects on a regular basis until the confirmation of the event.
• Establishing contracts and legal basis until the confirmation of the event.
• Establishing contracts and legal documents with the client.
• Receiving and processing Meetings and Events request in an efficient, friendly and professional manner.
• In charge of the M&E online distribution (Cvent, Starcity, etc.)
• Ensure maximum occupancy of the meeting and event spaces and rooms on a daily basis by performing follow-ups.
• Increase sales volume and profitability (YOY).
• Keep Sales and Revenue department informed of group booking status during the sales and Revenue meetings.
• Bench marketing and analyse of the market on regular basis.
• Daily use of Opera Sales & Catering.
• Conduct M&E forecast.
• Assisting in the update of the Tangla M&E experience with Banquet and DOSM.
• Meet budgeted sale and profit margins for group business, by soliciting, selling and confirming business as required (prospection).
• Block booking encoding and update according to changes.
• Drafting of offers and contracts.
• Pro-forma invoicing and payment follow-up.
• Creation of the function sheets/BEO
• Preparation of the function meeting in the presence of the heads of departments.
• Customer welcome upon arrival and introduction of the operational team in charge.
• No-show and cancellations monitoring.
• Feedback analysis and decision making accordingly.


• Relevant experience in the field at least 1 year
• Creativity, ingenuity, proactivity

• Commercial spirit and diplomacy
• Working knowledge of various computer software programs (MS office, Opera sales & Catering)
• Ability to spot and resolve problems efficiently
• Communication skills: comfortable on the phone, face to face and by email
• Up to date with hotel and M&E trends and best practices
• Guest-oriented and service-minded
