Executive Office Assistant – Maternity Cover (10 months)

About the job

 

We are looking for a talented and passionate Executive Office Assistant to join a fantastic team as maternity cover for 10 months. This role is responsible for pro-actively looking after the Managing Director’s diary and the Executive Office’s administrative duties, but also dealing with requests and guest feedback on behalf of the Managing Director.

 

Duties and responsibilities include:

  • To coordinate and organise all internal and external meetings that need to take place as instructed by the Managing Director
  • Coordinate all conference calls and monthly update meetings with Owners and Management Company
  • Manage diary and travel arrangements on behalf of the Managing Director
  • Create itineraries and agendas and prepare travel documents for any business travel, sales calls and meetings
  • Liaising with all other departments as necessary to ensure that reservations, guests needs and instructions given by the Managing Director are carried out throughout the hotel
  • Draft Letters and documents in a timely and accurate manner that are dictated by the Managing Director 
  • Organise and proactively manage e-mails on behalf of the Managing Director in his absence, dealing with correspondence efficiently and in a timely manner
  • Proactively deal with guest complaints in a timely fashion as directed by Managing Director
  • Prepare memos, agendas, research, reports, presentations and other aids for meetings as well as taking and distributing minutes where necessary for all the departments
  • Process expenses with relevant bank statements and any relevant reports as requested
  • Maintain office supplies and stationery for the Executive Office. Create purchase orders, reconciling all invoices

About you

The ideal candidate would be able to demonstrate the following attributes:

 

  • Previous experience in a similar role within a luxury establishment
  • Excellent command of the English language
  • Immaculate grooming standards.
  • Good organisational skills and great attention to details are essential
  • Advanced knowledge in using MS Office: Word, PowerPoint, Excel & Outlook, Opera and Adaco is essential

 

 

Eligibility

In line with the requirements of the Asylum & Immigration Act 1996, all applicants must be eligible to live and work in the UK. Documented evidence of eligibility will be required from candidates as part of the recruitment process

  • Language required: English.
