We are seeking candidates with accomplished professional experience who have demonstrated interpersonal and communication skills as an administrative assistant to represent the offices of the Vice President, Executive Compensation, as well as project coordination on behalf of the executive compensation department. The role provides measurable value by: Responsibilities
  • Providing day-to-day administrative support to the Vice President , Executive Compensation
  • Assisting the business with project specific assignments such as PowerPoint presentation creation, research/data gathering, event coordination, creation of paper and electronic materials for the compensation committee (Board of Directors), and the facilitation of executive contract and comp review processes
  • Fulfilling general office and administrative duties, including but not limited to
    • Screening and routing phone calls, managing calendars and processing invoices and expense reports in a timely manner
    • Scheduling meetings requiring significant coordination and providing logistical support, including the drafting and circulation of agendas, securing room locations, refreshments, supplies, equipment and set-up of AV and video equipment as needed
    • Providing additional office support such as distributing mail, filing, faxing, photocopying, scanning and tracking documents, data entry, word processing, ordering supplies, and processing purchase orders
    • Managing the planning, coordination, and execution of business travel, including trip logistics and itineraries, meeting coordination, and remote support of executives who are out of the office
  • Building and nurturing partnerships throughout the Company and with external partners
  • Ensuring timely and effective communications
  • Maintaining a professional demeanor and exhibiting a strong sense of responsibility and reliability
  • Maintaining the strictest confidentiality with highly sensitive information
Basic Qualifications
  • Previous experience in executive administrative support or office management in a corporate environment, with particular demonstrated experience with coordinating projects
  • Strong computer and technical proficiency including but not limited to Microsoft PowerPoint, Word, Excel, Outlook, and familiarity with Access plus the ability to learn new work-based software and systems
  • Proficient in Internet Explorer and internet-based research
  • Demonstrated positive attitude with the ability to be proactive, resourceful and flexible
  • Demonstrated ability to prioritize, meet deadlines, make decisions and change course of action quickly
  • Strong organizational and follow through skills with detail orientation
  • Excellent written and verbal communication and interpersonal skills that ensure successful interaction with all levels of the organization including senior-level executives and their assistants
  • Ability to work a flexible schedule as needed
  • Ability to work effectively in a team environment
  • Ability to handle confidential information and exercise discretion and good judgment when managing sensitive issues
  • Strong people skills, including the ability to work effectively as part of a team
  • Ability to take initiative and work with minimum supervision
  • Eagerness to learn the substance of the work in which the group is involved, in order to be an effective facilitator within the business unit
Required Education
  • High school diploma or equivalent work experience
