PURPOSE OF THE POSITION


The Manager Logistic Operations is responsible for managing and controlling all activities related to onboard purchasing and logistics operations across six of Viking’s Ocean ships.
The Manager Logistic Operations is responsible for ensuring that the ships purchase orders are fulfilled on time and within policy and guidelines, as well as control Logistics Operations and Freight cost. The key focus will be on ensuring delivery consistency, cost and process adherence, customs and loading operations, as well as general ship support as related to purchasing. In addition, the Manager Logistic Operations will be in charge of periodic reporting related to day to day operations of purchasing and logistics activities.
The Manager Logistic Operations cooperates with the Fleet Inventory Manager to support the Inventory managers onboard the ships. Furthermore, he/she works in close collaboration with the Purchasing team as well as the Onboard Operations team.
The Manager Logistic Operations will report to the Director of Purchasing and Logistics (Ocean), and will be located in Basel, Switzerland. Thus, please note that we can only accept applicants who are eligible to work in Switzerland or in possession of a Swiss word permit. This position involves extensive traveling both domestically and overseas.


RESPONSIBILITIES


• Follow up on quarterly Hotel Orders in order to make sure these are prepared in due time and works closely together with procurement department to ensure planning and deliveries are in a timely manner
• Work closely with the shipboard team and the suppliers to ensure that all products needed for the operation are on board at all times
• Follow up on service level issues with all vendors
• Follow up on invoices and credit notes registration and approval in cooperation with the accounting ocean team
• Support the ships in case of deviations, delayed deliveries or emergency orders, to ensure the ships have all the supplies they need and to work with both the operations teams and our vendors to eliminate potential root causes for deviations, emergency orders, excess spend, and waste
• Provides support to Purchasing and suppliers defining a depletion plan for slow moving items and discontinued items according to suggestions received from the Fleet Inventory Manager
• Support Director of Purchasing and Logistic (Ocean) in planning and monitoring freight cost and freight operations for ships under management
• Manage special projects within the Purchasing team
• Comply with all corporate and ship standards and procedures, including follows all policies, and safety and environmental procedures

 

QUALIFICATION PROFILE


• Must have experience organizing logistics (via sea, air road) on a global scale
• A strong leadership profile with previous management experience, able to develop, motivate and train people
• A can-do mindset, with a strong focus on delivery a superior guest experience as well as a focus on costs and budgets
• Flexibility and stress resistance, team player, commitment, positive personality and professional appearance
• Excellent written and spoken communication skills. Fluent in English, additional languages a plus.
• Analytical mindset with a strong knowledge of Excel
• Must have experience in project management
• A Bachelor degree or equivalent is a minimum requirement
• Maintains the confidentiality of personnel and payroll records and private company information
• Highly motivated self-starter with complete attention to detail
