Job Description

About the Role

WeWork is currently seeking an Executive Assistant to support the office of the Global Head of Member Experience. The Executive Assistant will serve as the primary point of contact for internal and external stakeholders and will be responsible for providing initiative and project based cross-functional support for the MX team to ensure the successful execution of high-level operational projects and standardized processes across the globe. The role will spend half of their time working with the cross-functional team to drive operational consistency across the globe, and half of their team providing day-to-day executive administrative support.

The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven, and community-oriented. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain balance among multiple priorities. 


This position is open to candidates located in Boston or NYC.


Key Responsibilities

  • Facilitate initiation of all critical project meetings and coordination exercises with internal staff and key stakeholders to ensure responsibilities are efficiently, accurately and effectively communicated and understood by all

  • Managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings

  • Manage groups and email addresses

  • Works closely and effectively to keep the team well informed of upcoming commitments and responsibilities, following up appropriately

  • Prioritize conflicting needs with efficiency and precision. Proactively determine and implement ways to reduce calendar conflicts

  • Handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

  • Anticipate needs and actively seek out solutions. Determine and implement process improvements

  • Create Executive Reports

  • Plan and execute department specific projects

  • Develop and execute project specific and company/department driven goals, schedules, budgets and strategy with methodology for accomplishing and/or managing goals and objectives into the future

  • Develop senior management level presentations to clearly communicate strategic analysis and recommendations

  • Develop creative strategies and work side by side with key stakeholders to implement process improvements across all cross-functional disciplines

  • Establish and maintain project goals and success criteria making sure to meet department needs

  • Build and maintain rapport with internal and external project representatives and ensure the scopes of project and outside business forces affecting the project are fully understood with specific deliverables and performance standards


About You

  • 3+ years of relevant experience

  • Superior verbal and written communication skills

  • Proven proactive approach to problem-solving with challenging deadlines and priorities with strong decision-making capability

  • Ability to anticipate change and react efficiently and expeditiously

  • Able to handle multiple tasks and confidential issues/material as well as communicate effectively with senior executives

  • Excels under pressure and can maintain a calm demeanor at all times

  • Ability to thrive in a dynamic environment

  • Works well independently as well as with a team

  • Strong interpersonal skills

  • Experience working in a results-focused organization

  • Strong letter-writing skills are a must

  • Highly resourceful team-player, with the ability to also be extremely effective independently

  • Proven ability to handle confidential and sensitive information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response

  • Forward-looking thinker, who actively seeks opportunities and proposes solutions

  • Proficient in the use of Microsoft Office, Google Applications, and a good base of general computer knowledge

  • Strong background and ability in Google Slides is a must

  • Data -and results-driven

  • Ability to adapt quickly to change

  • Highly creative

  • Keen attention to detail
