Administers key business programs or a portion of a program(s) within the department to support department and function on a division-wide scope whilst providing Senior Administrative Assistant functions in support of the VP Design & Project Management and the Global Design team. Work is generally varying, administrative and project oriented tasks. Work will involve developing alternatives and determining solutions for assignments which may be unique and non – recurring and may have a measurable impact on the department. The incumbent will be responsible for the business programs and procedures and will be seen as a resource to others. Work may involve handling confidential and sensitive matters
Answers questions pertaining to the program(s) being administered. Provides standard information regarding the routine details and terms of the program(s), provides guidance regarding the administrative procedures surrounding the program(s) and answers other frequently asked questions. More involved questions regarding the program are referred to the appropriate person.
Prepares and handles logistics for meetings and produces routine correspondence or documents pertaining to the program(s) being administered, including agendas and minutes.
Processes data related to the administration of the program(s) through an automated system following predetermined procedures.
Researches and addresses general questions and problems regarding department policies, procedures, information, desktop and mobile equipment, or services. More involved issues are referred to the appropriate person.
Maintain tracking / reporting systems utilizing spreadsheet, database and cloud sharing applications, including, but not limited to, Oasis, Oasis 2.0 and Lobo (Marriott internal applications). Functions include adapting systems to continent requirements, coordination with other Marriott departments, data entry, defining team user procedures, producing various reports, and data analysis.
Manage consultant contracts and billing procedures, coordinating with Legal, Risk Management, Accounting and other internal stakeholders, and maintaining communication with the consultants.
Support the Global Design team and report to VP Design and Project Management.
Skills and Knowledge
Position requires full knowledge of range of administrative processes gained via years of experience and the department's policies, procedures, products and services, customers and vendors, consultant contracts and billing procedures, typically gained through several years of experience.
Position requires working knowledge of business systems and software applications, including spreadsheet and database and network/cloud-based information sharing packages.
Position may require general awareness and limited monitoring of certain regulatory requirements as they pertain to the program(s) being administered.
Position requires complete knowledge of the mission, functions, organizational structure policies and procedures of the division.
Education / Experience / Other
High School diploma or equivalent required; University degree preferred.
Experience as required for position: might include Senior Administrative Assistant, Database Administrator, Business Analyst.
Performs other related tasks as assigned by management.
Complies with Marriott International Hotels Limited policies and procedures.
Working hours as required to do your job but normally not less than 40 hours per week.
Fluent in English (verbal and written. Second European language skills are a plus.
