Do you enjoy being on the cusp of market trends? Do you enjoy promoting local awareness through different media channels? You could be a great fit for our Sales & Marketing / Systems Analyst Coordinator position. This is a non-exempt/hourly position. 

The Position/Role 

The Sales & Marketing Coordinator / Systems Analyst Coordinator will work closely with the Director of Sales and Marketing on generating awareness of the resort through all media outlets; including a strong focus on local awareness; and assists in the development of all marketing and advertising initiatives as well as the development and execution of the annual public relations plan. The Sales & Marketing Coordinator / Systems Analyst Coordinator will also focus on the resort website, development of a resort e-Newsletter, all electronic marketing tools. The Sales & Marketing Coordinator / Systems Analyst Coordinator is also required to manage the property’s Golden Sales & Catering (GS&C) system. The Group Sales Manager with fielding and responding to inquires with confidence to all aspects of the Group selling process. 

Responsibilities 

  • Create innovative publicity programs that will increase awareness and positive perception of the resort, spa, culinary programs, services, and personnel.  Programs should address specific needs as outlined in the marketing plan and capitalize on unexpected opportunities as they arise.  

  • Maximize opportunities for publicity in all media through careful research and targeted editorial pitch plan, focused on key feeder markets for both the group and leisure segments.  Maintain professional relationships with media to support achieving the goals outlined in the PR plan, including the distribution of targeted media releases, media kits, pitches, and other PR related material.   

  • Assist in the development and execution of an annual PR plan as an integral part of resort marketing plan, based on guidelines given in the annual plan instructions, including a PR roadmap, segment strategies, and key PR initiatives.  

  • Utilize all available electronic marketing tools to increase exposure to all available outlets, including the development of an e-Newsletter; oversight of email broadcasts; Customized Mini-Sites; and all related electronic opportunities.  Maintain current image library and video footage to maximize media coverage.   

  • Update and maintain property website within the corporate standards, and maintain current image library and video footage to maximize media coverage. 

  • Ensure that all hotel promotions, advertising, direct mail pieces, and collateral are in keeping with Four Seasons image and reflect the highest level of professionalism in content and presentation 

  • Run all required weekly/monthly reports (including, but not limited to; Status Change, Pipeline, Guestroom Pace, Event Rental Pace, F&B Rev Pace, GRC, Activity, Catering Forecast, Catering Sales Report, function room occupancy and availability reports, Accounts lists, etc).  

  • Maintain (GS&C), which includes menu input, average check update, BEO training/maintenance.  

  • Run Audit reports including but not limited to Inquiry, Booking, Accounts, Contacts, Account Property Detail, Guestroom Block, and Events ensuring all Sales Managers are complying with corporate standards.

  • Run all month end reports associated with Corporate Month End Packet and complete the month end spreadsheet.  Review with Department Head and send to home office. 

  • Receive and respond to incoming telephone calls in accordance with Four Seasons Standards and assist with overflow calls for Sales & Marketing, Food & Beverage, and Executive Office.  

  • Prepare accurate written correspondence including letters, contracts, reports, banquet event orders, schedule of events, printed menus, and e-mails using MS Word, MS Excel, Golden Sales & Catering, Reports, and MS Outlook.

  • Daily Audit and GS&C for conflicts. Maintain GS&C accounts, including traces, creating and updating bookings, manipulating events in the function diary.  

  • Assist in the creation or detailing of Group inquiries in GS&C. 

  • Maintain the various Sales & Catering file systems, both electronic and paper, including Account Files, Program Evaluation Database.

  • Operate a variety of electronic and manual office resources, including but not limited to laser printers, multi-function copy machines, fax machines, a bindery machine.



Additional Functions:  

  • Assist with all guest inquiries within the sales and marketing department, including assisting with high telephone volume and walk-in site inspections. 
  • Assist with the development of all direct sales presentation material for both travel industry and group sales. 

  • Proof read all marketing material, including:  collateral, direct mail, advertising, printed promotional pieces, guest correspondence, etc.

  • Perform other tasks or projects as assigned by the director of marketing.  Perform other tasks or projects as assigned by management. 

  • Help develop and train on new Sales Procedures such as the GS&C, etc. 

  • Perform other tasks or projects as assigned by Resort management.   

  • In the absence of a Sales & Marketing team, assist clients and seek out solutions to requests in a friendly, caring and helpful manner. 

  • Participate in scheduled departmental and administrative meetings as requested.  



Who You Are 

  • 2+ years’ experience as sales/catering assistant with use of Delphi/Amadeus operating system.

  • Excellent reading, writing and oral proficiency in the English Language. 

  • Previous administrative, hotel, and/or related experience required.



Skills and Abilities: 

  • Excellent reading, writing & oral proficiency in the English language. 

  • Proficient in MS Word, MS Excel, Internet, MS Outlook, and GS&C. 

  • Works well under pressure, requires multitasking and being a team player. 

  • Ability to multitask in a high volume and demanding environment.

  • Required clerical responsibilities; typing, filing, faxing, photocopying. 

  • Able to handle a large volume of telephone calls in an efficient and courteous manner. 

  • Detail oriented, well developed organizational skills and a strategic thinker. 

  • Strong writing and oral presentation skills. 

  • Advanced media relations experience.

  • Knowledge of production methods in graphic arts and collateral. 

  • Basic knowledge of journalism practices and broadcast production methods. 

  • Must be flexible with schedule – Able to work weekdays, weekends, holidays, overtime, and evening/overnights if needed.

  • Strong problem-solving skills, ability to handle difficult situations and guests. 

  • Must be able to type 40 wpm. ​
