This role functions as a legal secretary assisting lawyers in the Asia Pacific Law Department and is based in Gurgaon and Mumbai. The position covers all countries in the South Asia region.
Key responsibilities include providing a full spectrum of secretarial support to the Legal team, such as:
Working on legal software such as I-Manage, Law Manager, Serengeti, Sharepoint and Blueprint
Organizing and scheduling meetings and appointments for the team.
Coordinating with different departments at Marriott including tax, IP, finance teams.
Dealing with Law firms and other third parties for settlement of bill and invoices
Being responsible for co-ordinating diaries and calendar management.
Assisting the team in pre-closure of deal singing such as indexing, printing, cleaning up documents.
Preparing closing binders for legal documents such as closing memo’s and NOTs
Preparing attendance record of the legal team
Preparing permanent document files and closing binders
Maintaining electronic and hard copy filing system
Hotel bookings and Travel arrangement including flight, hotel and visas
Maintaining contact lists and office supplies for the team
Providing assistance in legal coordination work
Preparation of travel expenses
Handling business correspondences reports and presentations
Upkeep of all confidential documents.
Dealing with all incoming correspondence
Providing administration support
Other duties and special projects as assigned which may include assisting lawyers in the team in the execution of all aspects of hotel transactions, including:
drafting, reviewing, amending, analyzing and negotiating legal documents and business communications;
preparing signing authorities and assisting with pre-execution formalities;
attending project closings and managing the execution of agreements;
following-up and completing post-closing items; and
conducting legal research as requested.
Maintaining and updating template agreements and franchise disclosure documents.
Establishing, maintaining and updating databases and web-based platforms used by the legal team.
The role may also include some travel.
Education and Experience
At least a bachelor degree (or equivalent).
Approximately 5+ years of relevant work experience.
Fluent in both written and spoken English and Hindi.
Skills and Competencies
Strong organizational and time management skills.
Strong project and case management skills.
Strong user skills across common platforms (e.g. Microsoft Office, Imanage, Excel, PowerPoint and Law Manager).
Strong interpersonal skills and an ability to collaborate well with others on the team and across different teams.
Strong communication skills (written/verbal).
Strong attention to detail.
Demonstrates initiative and leadership in generating new concepts, approaches and methods.
Ability to perform well under pressure with minimal supervision, while producing a high volume of accurate work.
Diligent, dependable, enthusiastic and willing to learn.
Experience in preparing presentation materials (e.g. PowerPoint presentations and videos) is an advantage.
