Key Duties

• Process telephone and email reservations according to room and rate availability, ensuring that full and accurate details are obtained and input accordingly into Opera.
• Update reservations, to input and record cancellations and amendments, making sure all bookings are accurate.
• Deal with travel agent bookings, vouchers and credit requests, ensuring that the hotel’s policy is adhered to at all times.
• Process all SynXis reservations and messages ensuring that all bookings are accurate.
• To be fully conversant with rate groups and sales accounts procedures.
• To be able to produce a weekly forecast report for the current and future month
• To be fully conversant with Opera, reservations and SynXis reservations worldwide reservations system.
• To ensure smooth and concise communication between Reservations and all other Hotel Departments
• Assist with Groups and input rooming lists.
• Liaise with Sales and other departments when dealing with VIP guests, sales leads and rate requests.


• To abide to PCI and GDPR policies and procedures.
• To ensure that reservations folders on the Shared drive (PC) are maintained and all standards are followed regarding saving and updating items.


• Type email confirmations and check details and requirements for accuracy.
• Enter all Reservations as per the required and determined Jumeirah Standards.
• Print SynXis Reports and ensure to update all reservations, irrespective of arrival date
• Proactively delegate or action any requests received via SynXis
• Regularly and correctly file all correspondences for present, past and future months.
• Consistently update guest history records using the defined Jumeirah abbreviations and add any new or relevant data as necessary.
• Update the Daily Pick Up report on a daily basis and attend morning meetings.
• Ensure all handover issues and items to be followed up are communicated to the team or passed on to the relevant department and resolved promptly.
• Assist with Groups and input rooming lists.
• Liaise with Sales and other departments when dealing with VIP guests, sales leads and rate requests.
• Cross check the next day Opera/SynXis arrivals report.
• Liaise with Sales and Banqueting for any enquiries with regard to room reservations, conferences and other functions.• Liaise with Front Office, Guest Relations and Concierge (as well as F&B) with regards to any preferences and special requests received during the reservation stage.
• Ensure that all Service Quality standards are adhered to, maintained and completed during each and every call and experience with a guest.


• Experience in a 5 Star Front Office or Reservations Department
• Excellent level of English
• Competent computer skills, word, excel, power point
• Exceptional knowledge of Opera
• Excellent communicator at all levels
• Effective organisational skills; able to prioritise tasks and self-manage a demanding workload
• Excellent presentation skills
• Friendly, approachable and professional
• Natural Flair in identifying and offering Service Beyond Expectations
