• To maintain an organized, systematic and updated filing system (hard copies & hard disk back up), in order to ensure easy accessibility to required data and avail loss of data from the hardware.
• To prepare and type sales team’s offer letters, updates hotel FO / Sales system and ensures it is reviewed & properly checked before handing it for signature.
• Composes letters, memos, faxes and other mail on behalf of the Director of Sales & Marketing and other members of the Sales Team
• To maintain a prompt and accurate follow up and trace system for the Director of Sales & Marketing Correspondences
• To handle all incoming calls & guest’s enquiries in the absence of the sales & marketing team & channel to the concerned department if the inquiry requires immediate action.
• To promptly dispatch mail and facsimile documents within the sales department.
• To maintain adequate stock of office supplies and initiate requisition.
• To maintain and replenish Brochures, Fact Sheets, F&B Flyers
• To ensure that the S&M month end report is accomplished and submitted on time.
• To ensure that all correspondence and offers related to the sales team goes out within maximum of 24 hours
• To organize own time & set up priorities ensuring maximum use of working day.
• To ensure full knowledge of hotel’s facilities and services.
• To make a thorough check on the premises and operating equipment to determine cleanliness and orderliness.
• To communicate well at all levels dealing with the various administrative demands placed by the pressurized working environment.
• To be flexible to adapt to sudden increase in working hours if and when working demand arises.
• To have comprehensive knowledge in Word, Excel, Power point & FO/Sales system.
• To ensure that all equipment is in proper working order.
• Support the marketing efforts lead by the Director of Sales & Marketing on strategic positioning of the hotel through several new and on-going initiatives; including but not limited to executing creative projects working with suppliers, assessing partnerships and gathering cost information
• Support efforts through brainstorming creative ideas, creating outstanding presentations & creative elements to assist revenue generating initiatives, and design of unique sales tools and collateral with guidance from the Director of Sales & Marketing
• To work closely and support efforts through brainstorming creative ideas, creating outstanding presentations & creative elements to assist revenue generating initiatives, and design of unique sales tools and collateral with guidance from the Director of Sales & Marketing.
• Support the Brand, Marketing and Digital organization on implementation of marketing strategies.
• Maintain an ongoing marketing activity and tactical promotion plan by coordinating the Marketing Teams timelines to meet and anticipate needs of guests & clients via phone, email, personal interaction and as requested by the Director of Sales & Marketing.
• Together with the guidance and support of the Director of Sales & Marketing, ensure effective communication is maintained in line with marketing strategy and key messages
• Ensure that all activities are in alignment with marketing functions and properties are provided the support needed for successful implementation of the marketing plans for the hotels under Royal Continental Hotels LLC
• Support direct managers including but not limited to editing, proofing, submitting and processing administrative duties, collaterals and presentations.
• Responsible for executing marketing /digital activities as assigned based on key initiatives and strategies
• Provide supplemental support and content for Social Media channels based on event calendar
• Promote awareness of brand image internally and externally and ensure full compliance with all Royal Continental Hotels LLC standards & programs.
