SCOPE AND PURPOSE:

To provide generalist Human Resources support for all Italian businesses, ensuring that the service meets both business and employee needs. This includes administration, employee welfare, recruitment and employee relations support as necessary, all in line with local legal requirements.

The HR Assistant
1. Provide general assistance and guidance to managers and employees.
2. Be a point of contact for all staff and managers, proactively dealing with all enquirers.
3. Encourage a ‘positive welfare’ environment for all employees. HR
4. Provide accurate advice and guidance to managers on performance, probation, capability and absence issues, as required.
5. Together with Hr Manager ensure that disciplinary action is taken in accordance with Company procedures and legislative requirements and provide guidance of disciplinary procedures where appropriate.
6. Ensure that all employee grievances are handled promptly and professionally in accordance with Company grievance procedures and legal requirements.
7. Ensure absence procedures are followed correctly by all employees.
8. Monitor employment legislation, legal decisions and changes in HR as necessary to ensure continuing compliance for all employee matters.
9. Responsible for employee HR files, ensuring the files are current and up to date, and all relevant documents are kept.
10. Assist Regional HR Manager with all employee exit processes, including retirements, fixed-term contracts and dismissals.

Human Resources Policies
1. Provide administrate support to the HR team as required.
2. Maintain the quality and availability of staff facilities including changing and rest areas to ensure a clean, safe and productive work environment.
3. Ensure staff notice boards and newsletters are utilized to their full potential, maximizing communication and staff interest.
4. Provide key statistical reports and management reports as requested.
5. Analyse data and provide information as required by Corporate HR.
6. Support the HR team, to ensure that HR Operating and Service Standards are implemented and maintained to a satisfactory level.
7. Assist the Hr manager in the design and implementation of HR Policies and Procedures.

Recruitment and Retention
1. Recruitment and selection of new employees as required
2. Ensure all recruitment and selection procedures are carried out in accordance with the company policies and in line with local legal requirements.
3. Ensure that accurate job descriptions and person specifications are in place for all positions.
4. Ensure offer letters, contracts and offer packs are sent to all new starters and seasonal workers prior to commencing employment.
5. Manage the probation review process and ensure that all reviews are completed in a timely and constructive manner.
6. Carry out exit interviews and analyse the data.
7. Ensure all contractual changes, including transfers and promotions, are carried out in line with company policy and relevant documents are issued accordingly.
8. Actively promote career opportunities within Belmond.

Learning and Development
1. Assist with training induction.
2. Support and promote performance appraisal system and assist in the administration of the process.
3. Attend all Learning and Development courses as and when required.

Experience, skills & knowledge:
• Bachelor’s degree in Human Resources or equivalent
• Previous work experience in a similar role is required
• Previous working experience in a unionized environment is preferred
• Positive, cooperative, adaptable and with effective communication skills.
• Able to multi-task and work well with deadlines
• Strong computer literacy including knowledge of Microsoft tools
• Fluent in Italian and English, both written and verbal.
