The Position/Role

This role is responsible for providing administrative support primarily for the Travel Industry Sales Manager and Group Sales Manager and Director(s) while being familiar with all aspects of the sales, catering and conference services planning process. Assist in the organizing of Travel Industry needs and act as a liaison with the resort’s ResComm and WRO Call Diversion team members in conjunction with the DOSM. Provides back up support to the Sales Managers and the entire sales and marketing team, in particular in the absence of other Administrative Assistant.  In addition, A successful Systems Analyst must be technically competent and have a strong working knowledge of Delphi.FDC (Golden Sales and Catering), and MeetingBroker.  This role has the responsibility to constantly strive to improve Golden Sales and Catering usage, maintain its integrity and initiate ways to automate the sales and catering department’s daily processes.

Responsibilities

  • Receive and respond to incoming telephone calls in accordance with Four Seasons Standards and assist with overflow calls for Sales & Marketing, Food & Beverage, and Executive Office.

  • Prepare accurate written correspondence including letters, contracts, reports, and e-mails using MS Word, Opera, Golden Sales and Catering, and Outlook. Type correspondence, reports, composition of letters, and memorandums; open, examine, sort, incoming mail and when appropriate gather information necessary for response; take and distribute departmental and divisional meeting minutes.    

  • Maintain Golden Sales and Catering accounts, including traces, creating and updating bookings, manipulating events in the function diary and the preparation of Banquet Event Orders, and resumes if needed.

  • Coordinate with ResComm and WRO to support Travel Industry Sales Manager with reservations needs.

  • Complete distribution of Sales and Catering correspondence to the resort operating departments as required. Examples: Amenity Cards, Preferred Partner Letters, and Resumes.

  • Maintain the various Sales and Catering/Conference Services file systems, both electronic and paper, including Account Files, Program Evaluation Database, Master binders for Banquet Event Orders and Resumes.

  • Maintain files, schedules, and calendars for management members of the Sales and Marketing Division; coordinate, set and confirm interviews and appointments. 

  • Assist in completing special projects which may include mailings, competitive surveys, or other assigned duties; maintain and order office supplies.

  • Maintain policy and standard manuals; update and distribute as necessary.

  • Operate a variety of electronic and manual office resources, including but not limited to laser printers, multi-function copy machines, fax machines, paging system, a bindery machine.

  • Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and Planning Committee.

  • Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact.

  • Golden Sales and Catering Systems Analyst Duties



Additional Functions:

  • Ensures data integrity

  • Booking maintenance

  • Ensures optimum department automation

  • Ensures maximum use of revenue management in Golden Sales & Catering

  • Ensures Golden Sales & Catering is running optimally

  • Reporting – month-end and weekly

  • Audits

  • Key contributor to marketing plan and budgets

  • Assists managers in selling process

  • Meeting broker

  • Assist with all guest inquiries within the sales and marketing department, including assisting with high telephone volume and walk-in site inspections.

  • Assist with the development of all direct sales presentation material for both travel industry and group sales.

  • Proof read all marketing material, including:  collateral, direct mail, advertising, printed promotional pieces, guest correspondence, etc.

  • Perform other tasks or projects as assigned by the director of marketing.  Perform other tasks or projects as assigned by management.

  • Help develop and train on new Sales Procedures such as the GS&C, etc.

  • Perform other tasks or projects as assigned by Resort management. 

  • In the absence of a Sales & Marketing team, assist clients and seek out solutions to requests in a friendly, caring and helpful manner.

  • Participate in scheduled departmental and administrative meetings as requested.



Who You Are

  • 2+ years’ experience as sales/catering assistant with use of Delphi/Amadeus operating system.

  • Excellent reading, writing and oral proficiency in the English Language.

  • Previous administrative, hotel, and/or related experience required.



Skills and Abilities:

  • Excellent reading, writing & oral proficiency in the English language.

  • Proficient in MS Word, MS Excel, Internet, MS Outlook, and GS&C.

  • Works well under pressure, requires multitasking and being a team player.

  • Ability to multitask in a high volume and demanding environment.

  • Required clerical responsibilities; typing, filing, faxing, photocopying.

  • Able to handle a large volume of telephone calls in an efficient and courteous manner.

  • Detail oriented, well developed organizational skills and a strategic thinker.

  • Strong writing and oral presentation skills.

  • Advanced media relations experience.

  • Knowledge of production methods in graphic arts and collateral.

  • Basic knowledge of journalism practices and broadcast production methods.

  • Must be flexible with schedule – Able to work weekdays, weekends, holidays, overtime, and evening/overnights if needed.

  • Strong problem-solving skills, ability to handle difficult situations and guests.

  • Must be able to type 40 wpm.
