Job Title: Spa Inventory Specialist

Department: Spa

Reports to: Assistant Spa Manager

Scope and purpose of the position:    

The Spa Inventory Specialist has strong organization skills and software acknowledge. This role maintaining highest levels of trust and confidentiality. It is taking care on Spa retail and professional orders, records sales and coordinates purchase orders on a daily basis. Spa Inventory Specialist is responsible for monthly Spa retail and professional inventories, deliveries, returns and administration support which required in accordance with the Four Seasons standards, training and guidelines.

Main Duties & Responsibilities:

  • Use Hotel’s required purchasing order systems and procedures

  • Use efficient Spa’s systems and software  

  • Implement an innovative approach to the business, constantly seeking, suggesting and implementing new product

  • To provide a friendly, courteous and professional communication at all times that exceeds partnerships’ with Spa suppliers and team members’ expectation.

  • The ability to drive the revenue in SPA retail through proper yield management and sales and implementing new procedures for Spa Receptionists in order to improve productivity and service delivery.

  • The ability to play an active role in creating new initiatives in retail incentives and cross selling promotions to maximize business potential.

  • Hold regular formal/informal meetings with the Spa team to ensure that team is functioning to the best of its ability.

  • Support to be achieved sales targets, LQA targets, commitment report targets as set by the Spa Management.

  • Ensure turn away business and all sales are accurately tracked.

  • Proactively monitoring Spa monthly stock take actions

  • Attain on daily/upcoming events through use of daily briefings, pass-on logs, or any other means necessary.

  • To communicate thoroughly on all levels with colleagues and management.

  • To ensure you read the hotel's employee handbook and have an understanding of and adhere to the hotel's rules and regulations and in particular, the policies and procedures relating to Fire, Hygiene, Health and Safety.

  • Assist the Spa Management in the ordering and management of retail stock and sundries within The Spa.

  • Ensure that all receptionists are proficient in carrying out Spa retail daily financial audits.

  • The ability to assist in all areas of the Spa when necessary, including all reception duties and to step in with attendants when needed.

  • To confidently use all the IT systems utilized within the department and maintain key for each system to ensure full utilization of all the systems.

  • The ability to manage the inventory of retail, assist with reordering of products and maximize profitability and revenue generation.

  • Organize and participate in monthly retail inventory.

  • Update retail receiving.

  • To perform other tasks or projects as assigned by Spa Management.



Standard Duties:

  • Display Standard awareness, set example for standard execution, testing and implementation.

  • Read and ensure understanding of the hotel's employee handbook and the hotel's rules and regulations and in particular, the policies and procedures relating to Fire, Hygiene, Health and Safety.

  • Adhere to the code of conduct, grooming and hygiene standards.

  • Undertake other duties and responsibilities which, while outside the normal routine, are within the overall scope of the position.

  • Report for duty punctually wearing the correct uniform/attire and name badge. 

  • Maintain a high standard of personal appearance and hygiene and adhere to the hotel and department personal appearance standards. 

  • Provide a friendly, courteous and professional service at all times. 

  • Display warmth, care and genuine enthusiasm when dealing with guests and maintain good working relationships, living The Golden Rule.

  • Respond to any changes in the department as dictated by the needs of the industry, company or hotel.

  • Flexible and extend job duties to carry out any other reasonable duties and responsibilities within the job capability as assigned, including redeployment to alternative departments/areas if required, to meet business demands and guest service needs.

  • Attend training and meetings as and when required.

  • Provide a friendly and professional service that exceeds guest’s expectations.

  • Report for duty punctually wearing the correct uniform/attire and name badge. 

  • To maintain a high standard of personal appearance and hygiene and adhere to the hotel and department personal appearance standards. 

  • Identify and report hazards; report any safety maintenance of equipment required.

  • Respond properly in any Resort emergency or safety situation.
