An Events Coordinator is responsible for receiving groups and events in the hotel, serving as an intermediary between the customer and the commercial and operational areas. It is the customer contact at the time this arrives at the hotel with your event, working with the hotel to achieve the set goals.

What will I be doing?

As Events Coordinator, you will be expected to solicit, secure arrangements, coordinate and conduct follow up for local and group catered events as well as meetings and social events.  From initial contact to the preparation of contracts for groups and events, until the end of the event and therefore must perform the following tasks with the higher standards:

  • Selling to all existing accounts as well as developing new accounts.
  • Drawing up contracts for groups and events
  • Establishing strong rapport with all clients and provide excellent services.  Generating food and beverage revenue for groups and meetings by responding to customer inquiries within 4 hours as per brand standards
  • Handling negotiations with meeting planners and generating Banquet Event Orders based on agreed contractual terms.  Preparing and process all required paper work to include BEOs and all other related correspondences with clients
  • Service group events and upsell food and beverage when servicing groups
  • Support daily distribution of BEOs, reader boards and change logs
  • Effective and efficient delivery for services for group convention/events/meeting and ensuring full compliance with signed group agreement 
  • Maintain excellent working relationship from initial lead call through follow-up solicitation and maintain contact with all support departments, including banquets and functions room departments until event conclusion
  • Conduct property discovery visits to promote facilities and services.  This includes entertainment activities with client
  • Perform other duties and responsibilities as requested by Supervisor/Director
  • Represent the catering department in the Small and Large Meeting Planner Survey
  • Assist the Catering and Convention Sales Manager and Sales Managers as needed

A Groups and Events Coordinator serving Hilton brands is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviors, skills, and values that follow:

  • Previous sales groups and events, preferably in Hospitality
  • Any combination of education and experience equivalent to graduating from college OR training or experience that provides the required knowledge, skills, and abilities to execute the role
  • Ability to analyze and manage multiple tasks
  • Ability to solve problems quickly and efficiently
  • Sense of organization and planning
  • Good computer skills including Excel, PowerPoint and Word
  • Proactive approach to meet deadlines and objectives

It would be advantageous in the role to have:

A proven track record in Hospitality Events coordination and sales
