The Public Relations Officer will primarily carry out all activities for pre-opening and post opening in support of the human resources function in the hotel which includes: planning, and obtaining all required block visa allocations, individual work visas and the process for resident visas. Post opening assisting with Guest Visa requirements, and other required mandatory certifications.


. Departmental:

· Process all types of visas including employment visas, residence visas for colleagues as well as business and other visas for guests / entertainers or other hotel requirements.

· Process the medical check, occupational health cards and Oman ID/ Resident.

· Insure that all documents are scanned and properly filed on the hotel data base.

· Update the Recruitment plan as Visas are applied for and received.

· Process and renewal of permits and licenses including hotel trade license, liquor trading license, certificates of registration, civil defense certificate for the hotel, Yearly planned Event licenses such as Ramadan and New Year, etc.

· Send out notifications to the concerned departments to prepare the required documents to renew hotel licenses.

· Process and renew of Events permits through the appropriate channel such as OmanTourism Authority, Ministry of Interior or Culture or other relevant ministry.

· Obtain permits for special promotions such as raffles, publishing or advertisement displays as required.

· Be up to date with regard to any changes or amendments to the prevailing laws/rule / regulations, changes in forms/formats and other procedures and keep the Human Resources Department advised of such changes.

· Advise the Director of HR of any complications that could impact hotel operations in a timely manner.

· Submit relevant documents periodically to Immigration or the Labour office with regard to cancelled / absconding colleagues and delete from the hotel’s sponsorship list.

· Complete departure and exit formalities for colleagues after cancellation of Resident Permit.

· Obtain quarterly sponsorship reports from Immigration / Labour office and tally sponsorships and re-submit to Immigration / Labour office with relevant support documents.

· To proactively manage the timely renewal of all Employment Visas, Health Cards.

· Assist Colleagues in renewing visas for their immediate dependents whenever needed

· To maintain database of all passports and residence visas by scanning all documents and directly updating the database when details change.

· Notify all the colleagues and their departments’ heads about the expiry of their documents including health cards

· Submit detailed reports related to visa expenses to the finance department.

· To understand and strictly adhere to the Hotel’s rules & regulations.

· To report for duty punctually wearing the correct uniform and name tag at all times.

· Assisting with Colleague Welcome and Engagement events as part of the Human Resources Department.

· Performs any other duties as assigned to him/her by management.

Skills & Qualifications

· Senior School Graduation qualification or equivalent required

· Tertiary Degree or qualification in HR or Business an advantage

· A minimum of 2 years of experience in a similar role of PRO or Government Relations preferably within a hotel environment

· Knowledge and understanding of Omani Government Visa process

· Knowledge of Oman Immigration Law

· Knowledge of Oman Labour Law

· Ability to use Oman Government Online system

· Computer literate and able to use MS Outlook

· Ability to communicate effectively with colleagues on process and steps to procure Visa and Resident Permits
