The Executive Assistant Manager will report to and work closely with the General Manager to run the day-to-day Resort operation, business planning and strategy.
We are hiring a skilled professional to join the team as Executive Assistant Manager.
This position reports directly to the General Manager and is responsible for all aspects of the operation in this high-end resort, as well as deputizing for the GM in his absence.
The position would be ideal for a current EAM, EAM-F&B, EAM-Rooms or Operations Manager looking for a new challenge & career opportunity, or perhaps an experienced Director of Food & Beverage or Director of Rooms ready for their next step.

JOB SUMMARY:
The Executive Assistant Manager will report to and work closely with the General Manager to run the day-to-day Resort operation, business planning and strategy.
The Executive Assistant Manager is responsible for planning, organizing, directing and coordinating management activities of operations in partnership with the General Manager in order to maximize profitability and to ensure the highest level of luxury guest services and product quality.
KEY RESPONSIBILITIES:
- Working collaboratively with all departments to make sure operations are running smoothly
- Keeping a perfect coordination between all operational and supportive departments
- Maintaining a positive and luxury service-focused culture among departments
- Supporting all departments in the achievement of their operational & financial targets
- Maintaining product and service quality standards to exceed guest expectations
- Ensuring all Constance, LQA and LRA standards are in place and executed consistently
- Anticipating all guest needs and respond promptly and accordingly
- Maintaining a high level of interaction with guests, partners and team members
- Implementing special projects assigned by Constance Head Office and the General Manager
- Reviewing team members behaviour, attitude, grooming, appearance and performance
In partnership with other Executive Committee members, the Executive Assistant Manager will be in charge of the Resort Operations in the absence of the General Manager.
DUTIES & RESPONSIBILITIES:
Duties & responsibilities for this position shall include, but not limited to the following areas & activities. At management discretion, direction may be given for tasks outside the scope of work described.
1. General
- To actively prepare and participate to our daily morning briefing.
- To actively participate to our weekly, monthly and quarterly Revenue, Management, Operation, Guest Experience and Sustainability meetings.
- To welcome and farewell our guests, in partnership with our Front Office Team.
- To prepare the upcoming stays of our Constance repeaters, high paying and VIP guests, according to their Opera profiles and preferences.
- To daily and weekly inspect the resort premises.
- To actively support our welfare and CSR activities.
- To act as Manager on Duty (MOD) on a rotation basis.
- To be in charge of the Resort Operations in the absence of the General Manager.
2. Guest Experience & Quality
- To ensure the highest level of luxury customer services in all operational departments and areas of the Resort.
- To regularly review guest service standards with a view to constantly improve upon them.
- To meet guests regularly, listen to and discuss their preferences so as to ensure the best possible fit between guest requirements & services provided.
- To deal promptly with customer complaints & launch service recovery procedures whenever necessary.
- Improve on Customer Satisfaction, OTA and TripAdvisor rating in partnership with our Quality Manager.
- Day-to-day management of ReviewPro in partnership with our Quality Manager.
- To ensure our self-assessment audits are properly executed and shared accordingly.
- Ensuring Constance, LQA and LRA standards are in place and consistently implemented.
3. Sustainability
- To supervise the work and performance of our Sustainability Manager and Health & Safety Coordinator.
- To ensure Health & Safety audits are done according to Head Office instructions.
- To ensure a monthly Sustainability meeting is scheduled and consistently attended by the committee.
- To closely follow the Sustainability and CSR yearly calendar and making sure activities are well planned and executed.
4. Rooms Division
- In charge of the organization and quality standards of the Rooms Division including Front Desk, Guest Relations, Reservations, Transfers and Housekeeping departments & sections.
- Responsible for good financial and qualitative results of the Rooms Division.
- Assist Front Office Manager and Executive Housekeeper in defining and implementing the Rooms Division resort strategy.
- Lead and implement Constance brand, Constance group projects and ensure compliance with the Resort and Constance procedures and policies.
- Ensure that pricing policy and internal audit procedures are duly applied.
- Coordinate with Constance Sales Office and CRO for maximizing revenue.
- Progressive evaluation of team member’s performance in collaboration with Head of Departments.
- Assist Front Office Manager and Executive Housekeeper with the recruitment and pre-screening process of candidates.
5. Culinary Division
- Lead the Culinary, Food & Beverage & Sommelier Teams, in partnership with our Executive Chef, Food & Beverage Manager and Head Sommelier.
- Organize and direct a team that develops top quality of food & beverage products with prompt, accurate and personalized service.
- Maintain and develop high standards of operations in all restaurants, bars and events by ensuring all SOPs are relevant, up to date, trained effectively and operationally delivered.
- Drive high levels of guest satisfaction through the consistent execution of Constance Halaveli Brand standards, visible operational leadership, and hands-on interaction with guests and team members.
- Ensure that operational standards are met in regards to sanitation requirements, food safety regulations, operation licenses and loss prevention.
- Actively participate in all related Marketing activities to ensure maximum exposure for all the outlets, including the development and implementation of the department’s annual and monthly promotions calendar.
6. Grounds, Landscaping & Beach
- To oversee the landscaping and beach needs in partnership with our Security Manager, Chief Engineer and General Manager.
- To conduct daily and weekly inspections of the pathways, villa gardens and beach.
- To ensure the yearly sand pumping and landscaping programs are well-planned and executed in partnership with General Manager, Chief Engineer and Chief Security.
- To ensure our monthly pest-control programs are well executed, in partnership with our Chief Engineer and respective Head of Departments.
7. Dive & Watersports (third-party vendor)
- To support and coordinate dive and watersport activities in partnership with our TGI base leader and Managing Director.
- Ensure that operational quality standards are met, according to our signed agreement.
8.Boutiques (third-party vendor)
- To support the retail operations of our two boutiques, in partnership with boutique attendants and the Owner.
- Ensure that operational quality standards are met, according to our signed agreement.
9. Finance
- To monitor budgets and costs of supervised departments as per approved monthly/yearly budgets, forecast and company policy.
- To ensure adequate revenue management and profitability of supervised departments.
10. Operation and Process
- To direct and supervise the resort operations at close range by being physically involved in all aspects of the operations.
- To coordinate the smooth operations of all departments falling under your responsibility.
- To support and ensure that all Constance and special projects assigned by the General Manager are implemented effectively.
- To host sales and media inspections, functions and events when necessary.
- To continuously introduce new concepts & ideas to develop the guest services in all areas.
- To develop and implement promotions, strategies and special events in conjunction with the Executive Chef, Food & Beverage Manager, Sales & Marketing Manager and Constance Head Office Public Relations Team.
- To manage all events and entertainers (including festive season) on the property, ensuring quality standards are maintained.
- To initiate, supervise & monitor the implementation of appropriate training to enhance the level of knowledge, skills & attitude among team members.
- Ensure that all operational team members comply with the grooming and uniform standards.
- To plan for the necessary manning level in the supervised departments in order to provide the highest service level within the agreed manning guide.
- To ensure that Team Members are recognized & adequately rewarded for their performances.
- To perform administrative tasks to the required proficiency level.
- To plan for the necessary equipment in order to ensure a hassle-free operation.
- To collaborate with the Chief Engineer to operate a Preventive Maintenance program for operational departments falling under your responsibility.
- To invest time and effort in your own development in order to be proactive and update in the latest developments in the field of guest services & standards.
CANDIDATE PROFILE:
- At least 7 years of experience in Luxury Hotel Operations & Management and a minimum of 4 years in higher managerial positions – EAM, Operations Manager, or as a number 2 in a hotel.
- A solid background in Rooms division is an advantage.
- Experience working in top of the range luxury island resorts, with a refined and personalised guest service will constitute a definite advantage.
- Previous experience working in remote island locations and good understanding of challenges in terms of supply & logistics.
- Language: Fluency in English and additional languages will be an advantage. Knowledge of a third language will be an advantage.
