Essential Functions:

  • Perform administrative skills such as typing, filing, copying, faxing, opening and sorting mail, coordinating appointments for General Manager and Hotel Manager and answer telephones according to Four Seasons standards.
  • Prepare written correspondence on behalf of General Manager and Hotel manager for approval.
  • Compile monthly guest comment analysis and ensure proper distribution of results.
  • Handle travel arrangements and reservations for managers and VIP guests.
  • Comply with Four Seasons’ Work Rules and Standards of Conduct while maintaining the confidentiality of the Executive Office.
  • Maintain a clean, neat and organized work area and file storage system
  • Work harmoniously and professionally with co-workers and supervisors.
  • Maintain master list of donations made to charities on behalf of the hotel.
  • Display, at all times, a friendly, courteous and professional manner in all dealings with guests, patrons, other employees and outside contacts.
  • Welcome and register hotel guests with an emphasis on fulfilling requests, following special handling instructions and adhering to established credit policies and procedures.  
  • Take messages for in-house or arriving guests in accordance with procedures, with an emphasis on accuracy and proper follow-up.
  • Quote and be familiar with room and rate availability for current and future dates.
  • Accept reservations, changes and cancellations in the absence of reservations staff.
  • Select and block rooms for arriving guests; pre-register individuals or groups as required; assist in escorting VIPs and return guests to their rooms as requested.
  • Work closely with both Valet and Guest Services to ensure smooth arrival and departure experience (i.e.,) handling of guest vehicles, luggage, packages, message delivery and/or special requests.
  • Handle guest problems or complaints and keeping senior management informed.


Minimum Requirement

  • Must be able to work all shifts including, AM's, PM's, weekends, and holidays.
  • Experience required by position is from one to two years of employment in the
  • related position in Hotel industry.
  • Requires a working knowledge of the aspect of services, policies or operations and general knowledge of the hotel.
  • Requires knowledge and ability to operate computer equipment and the reservations system.
  • Requires proficiency in the English and Spanish language.
  •    Able to sit, stand and walk up to 8 hours.
  • Ability to compose business correspondence.
