Executive Asssitant to VP-Human Resources, Cartier, New York, NY
MAIN PURPOSE
The Executive Assistant to Vice President – Human Resources’ key role is to provide core administrative support to the VP-HR, including calendar management, booking & coordinating travel, managing expenses, and assisting with other ad-hoc projects as needed. This role will help to facilitate the day-to-day activities and administrative operation s of the office & act as an extension of the VP-HR.
KEY RESPONSIBILITIES
- Support VP HR by proactively managing their calendar to anticipate and resolve any scheduling conflicts; Stay updated on all daily priorities and tasks, ensuring a seamless day-to-day schedule.
- Assist the VP with all administrative tasks, such as scheduling meetings, managing expense reports, filing, shipping, ordering supplies, receiving visitors, and planning events and coordinating logistics for HR team meetings.
- Book travel, hotels, car service for international and domestic travel.
- Build efficiency and effective responsiveness into existing operations and help define new operational strategies that streamline important information to VP-HR & HR team.
- Develop, organize, provide analysis and edit high level PowerPoint presentations, excel spread sheets and word documents as needed.
- Maintain strong relationships with all members of the HR team and collaborate closely with other assistants, senior executives and global colleagues.
- Send announcements out on behalf of VP HR.
- Manage and update the annual cycle of development calendar.
- Assist in aspects of onboarding of new Cartier HR team members.
- Support the HR team culture by organizing departmental meetings; Create meeting agendas and take & distribute minutes.
- Assist the HR VP and HR team on ad-hoc projects and key processes (ie, annual comp review).

- Bachelor’s degree is required with a minimum of two years of work experience, preferably within a human resources department and in a fast paced environment.

Technical Skills/Abilities

- Advanced Level in all Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Experience in SAP is a plus.
- Project Management experience a plus.
