Construction of the largest full-service Marriott-branded hotel in Shanghai, Shanghai Marriott Hotel City Centre opened its doors on 24 November, 2011. Located aside People's Square and Park on Xi Zang (Middle) Road, the Shanghai Marriott Hotel City Centre enjoys a premium downtown location. Nanjing Pedestrian Street is a 30 second stroll from the hotel's street entrance. The BUND, Suzhou Creek and the lively Xintiandi are all within easy walking distance.


Job Summary



Assist the Director of Services in all clerical works and responsible for arranging the Director of Services’ daily schedule according to his / her instructions.




1.   Ensure day-to-day operational efficiency of the section

a.        Keep a diary of appointments and meetings for Director of Services and remind her of appointments and meetings.


b.        Collect and handle in-coming and out-going mails.  Follow up unfinished orders.


c.        Answer Director of Services’ telephone calls and inquires in a good manner and write down messages when Director of Service is not available.  Screen calls.


d.        Prepare and type all correspondence, forms, letters, memos and reports for Director of Services and keep files up to date.  Also keep a master file for control purposes.


e.        Prepare folders, computer print out and reports ( i.e. Vacant Dirty or Assigned Rooms / Allocated Rooms ) required by the Director of Services before attending any meeting.


f.         Type purchase requisition and enter them in the control ledger and then file PR with purchase order when it is returned by purchasing department.  Also follow up with purchase department.


g.        Type monthly reports (including housekeeping monthly report, both F&B and Rooms inventory, loss or theft or items e.g. towels, ice buckets, loss of bibles).


h.        Type / forward supply requisition.  Keep adequate office supplies for the housekeeping office.


i.         Type staff movement, annual leave requests, sick leave reports and duty rosters.


       j.    Send mini bar charges to cashier promptly, after using date stamp.


       k.   Control lunch coupons for all housekeeping staff.


l.         Give guest comments, complaints and commendations to Assistant Housekeeper for proper comments and action.  Reports should be brought to the attention of the Director of Services.

m.       Inform Director of Services about sick guests so she could do the necessary courtesy phone calls, send flower or fruit baskets if necessary.


n.        Ensure housekeeping clerk update room status in the computer regularly and that floor housekeepers are informed periodically.

       o.   Ensure absences, tardiness are reported daily.


p.        Inform Director of Services of any unusual happening on the floor, public area, linen and laundry.


2.   Contribute to overall operational efficiency

a.        Keep an up to date control book of staff presently working in the housekeeping department and check monthly payroll run off for errors.


b.        Help order taker when his phones are busy and help with Lost and Found queries.


       c.   Control petty cash according to Director of Services’ instructions.


d.        Prepare monthly report of Lost and Found items received and send copes to the concerned departments.


e.        Maintain a well kept routing logbook, properly labeled, dated and properly signed by receiving party.

       f.    Follow personal grooming as per hotel’s standard.


g.        Follow strictly all hotel and housekeeping department policies and procedures.


h.        Emphasize on good personal behaviour as per guideline laid down in the employee handbook and promote the spirit of team work whenever and wherever possible.


i.         Maintain the cleanliness and orderliness of the housekeeping office.  Keep all records, files and logbooks neat, up to date and in order.






Profile of Competency


·        Computer literate and must know Excel and Word for Windows software.

l  Typing speed must be 50 wpm and above.

The hotel business functions seven days a week, 24 hours a day.  All associates must realize this fact and be aware that at all times it may be necessary to move associates from their accustomed shift as business demands. 同事須明瞭酒店是每周七天、每天二十四小时运转的行業。因應工作需要,上班的班次会随时相應调動。
