The Opportunity
We're seeking an experienced Executive Assistant to provide high level administration and operational support to the Managing Director, CEO and Executive team to enable them to work effectively and efficiently.

This is a dual role where you will also be responsible for the management of facilities as we continue to grow as a business.

Based at The Rocks, our open plan office overlooks the scenic Harbour Bridge and Opera House. We have a lovely big open Social Space which is the focal point here for socialising, catchups, informal meetings, breaks and workshops. Complete with a Pool and Ping Pong table and a huge projector, it also serves as a great spot for our weekly Friday drinks!

Responsibilities:
  • Providing support to the Managing Director, CEO and the Executive team
  • Diary management for the Managing Director and CEO, along with the coordination of meetings (internal and external)
  • Coordinating all aspects of travel, including the compilation of itineraries
  • Preparing and approving expense claims for Managing Director, CEO & Executive Team
  • Assisting in the preparation and collation of Board meeting, quarterly and monthly business review meeting schedules and agendas
  • Management of online platforms including Egencia and Airbnb. Assisting Executives and all staff in booking travel requirements
  • Manage all building and facility support contracts in Australia     
  • Oversee day to day management of all necessary repairs to maintain a safe and positive working environment with assistance of the Office Manager
  • Approval of invoices within Workday for Sydney facilities plus global rental invoices
  • Management of refurbishment and expansion projects across our offices 
  • Ensure Sydney offices have appropriate insurances and safety management systems    
  • Your skills and experience:
  • Proven track record providing high level executive support in a fast paced environment
  • High level of organisational skills with the ability to co-ordinate and manage conflicting priorities
  • Display and work with a sense of urgency, yet possess an eye for detail
  • Previous experience in managing facilities is a plus
