Summary of Responsibilities: Reporting to the Reservations Manager, responsibilities and essential job functions include but are not limited to the following:

  • Consistently offer professional, friendly and engaging service
  • Follow departmental policies, procedures and service standards
  • Adhere to the hotel's vehicle handling and safety policies while driving hotel and guest vehicles
  • Follow safety and sanitation policies
  • Other duties as assigned

  Daily/Weekly

·     Receive and manage confirmed contracts from Sales

·     Receive & reply to all above contract space requests

·     Receive rooming lists, update blocks with current room pickup, add meal plans, comp policy, arrival departure information and any other pertinent group information prior to Tour Agents entering

·     Prepare Tour Forecast – Group name, Acct #, T/D Arrival and departure information, # of days, # of rooms, #of guests, meal plans, rooming list received, notes.

·     Assist with entering rooming lists and follow up with Companies if not received

·     Receive individual cancellations and prepare cancellation fees for master account

·     Prepare all invoices and Secure Pay requests for companies that do not have direct bill

·     Review master billing accounts and upon departure, balance groups and send details to accounting for processing to the client

·     Work closely with Credit department to ensure accounts are balanced and any extra charges are correctly posted

·     Assist with balancing inventory and selecting groups to be blocked in our Signature Cabins

·     Assist and support the Inventory Coordinator and Reservations Team as required

·     Prepare Tour Check lists, rates, meal plans, comp policy, traces, prepare pro-forma, balance, print rooming lists

·     Liaise with Director, Revenue Management to maximize all Tour revenue opportunities

 

Monthly:

·     Develop relationships with Regional Tour & Leisure Sales team

·     Foster contacts with our key tour partners for ongoing communication

·     Request sales updates from Tour companies;  update blocks as required based on history or reports

·     Organize, file and update blocks for Sales reports that are received monthly or biweekly

·     Liaise with hotels in the Jasper Townsite for facilitating possible relocations

·     Prepare Pace reports for top 5 companies for Sales and Revenue Management

·     Ongoing Tour Director updates during low season: communication with Tour Directors, arrival departure information, special requests, adjust blocking

·     Manage special requests and projects from Director, Revenue Management

 

Annually:

·     Build Tour group blocks from contracts; wash blocks based on past history

·     Build rates and rate code in CRS for all tour companies

·     Build rates for meal plans in Property Manager (ie. MAP, BP, etc.)

·     Build special package rates for Tour Companies (ie Seniors Spring and Fall Getaways)

·     Prepare Summer & Winter Cheatsheets – Information to include Meal plans on cover page, Tour rates Publ/Pref/etc, individual company information, rates, blocks, special meal plans, billing information, special arrangements (ie Trefoil dinners)

·     Cancel and release group blocks as required

·     Work closely with the Dining Reservations Manager in communicating meal plan information, changes to meal plans, extra activities, lunch, receptions, meeting room rental charge, make notes for credit to ensure extras are billed.

·     Company Activity Cards/Preferred Guest cards – concise communication with other departments to ensure team is aware of appropriate inclusions

·     Supervise training Tour Supervisor and Tour Agents including ongoing coaching

 

Qualifications:

  • 1 year experience in hotel Front Office Operations required
  • Advanced knowledge of Opera Property Management System is required
  • Computer literate in Microsoft Window applications required
  • Previous Sales experience is required
  • Excellent communication and organizational skills is required
  • Experience with the tour market segment is an asset
  • University/College degree in a related discipline an asset
  • Ability to work well under pressure in a fast-paced environment·        
  • Strong interpersonal and problem solving abilities is required
  • Highly responsible & reliable
  • Ability to work cohesively with fellow colleagues as part of a team with minimum supervision
  • Ability to focus attention on guest needs, remaining calm and courteous at all times
