Summary of Responsibilities: Reporting to the Director of Catering Sales, this role is responsible for the overall coordination and planning of all events as assigned by the Director of Catering & Conference Services. Provides professional client services support in the planning, organization and management of all assigned events.
 
Responsibilities and essential job functions include but are not limited to the following: 
  • Coordinates planning for banquet events as assigned
  • Up-sells products and services throughout the event process
  • Responsible for contacting clients, preparing all event documentation, and ensure events progress seamlessly by following established procedures, collaborating with other departments and ensuring accuracy
  • Acts as liaison between sales person and client throughout the event process (pre-event, event, post-event)
  • Create menus, mindful of food costs, labor cost and kitchen capabilities. Obtain approval from the Director, Catering & Conference Services  when any special menus are sold
  • Confirm event related information with client and disseminate information to all departments through e-mails, event orders, resumes and rooming list in a professional and timely manner
  • Organize convention bookings from date of booking to departure, including meeting requirements, guest room requirements, guest room pickup, food & beverage and audio visual
  • Providing professional, friendly, and engaging service which is demonstrated during all interactions with all clients and colleagues
  • Responsible for providing accurate food and beverage forecast of all assigned events
  • Facilitates various meetings as necessary (Banquet Event Order meeting, pre-cons etc.)
  • Attend internal meetings as required
  • Establish and maintain rapport with clients, prior to, during and post conference, encouraging repeat business
  • Drive function space optimization/maximization, to ensure best utilization of space for guest experience and financial performance of department.
  • Create floor plans for each event to ensure banquets and clients are in agreement prior to set up
  • Initiate billing procedures, ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frame
  • Participates in client site inspections and assists with the sales process as necessary
  • Solve problems and/or suggest alternatives to previous arrangements
  • Adheres to all company standards, policies, and procedures
  • Performs other duties as assigned to meet business needs
Qualifications:
  • Experience in event planning
  • Passion for food and beverage
  • Proven ability to plan and execute events effectively with a strong attention to detail
  • Working knowledge of Opera Sales & Catering & Social Tables
  • Proficiency with computers and software programs, including Microsoft Word, Microsoft Excel
  • University/College degree in a related discipline preferred
  • Excellent communication skills, both written and verbal required
  • Strong interpersonal and problem solving abilities
  • Pleasant and outgoing personality with demonstrated organizational skills.
  • Willingness to work in a team environment and assist others within the department when needed.
  • Must be able to work with minimal direct supervision
  • Must be available to work weekends and late nights.
