Sales, Convention Service & Catering Coordinator

Hotel Overview:

Refined elegance and sophistication flow into each of the 808 well-appointed non-smoking deluxe guest rooms and suites at The Fairmont San Jose. Located near Silicon Valley in Northern California, this 20-story two tower masterpiece caters to discerning and well-traveled business professionals who expect impeccable quality from their accommodations.  

 

Summary of Responsibilities:

Reporting to the Director or Manager – Catering, Conference Services & Sales, responsibilities and essential job functions include but are not limited to the following:

          -Provide administrative support to the Sales, Catering and Convention Services Managers. Assist with month end reports.  Loading leads into system  and filling out group referral forms online -Assist with all industry travel reservation requests that come directly through sales managers extensions -Print out daily reservation report to see if Virtuoso agents will be arriving and coordinate with Group Gifts to ensure proper amenity is sent -Load all Corporate RFP acceptance contact information into Delphi and follow up with GRC/reservations to ensure rates have been loaded in a timely fashion -Fill out and submit all RFPs received -Assist with quoting local Corporate Rates to those approved on the depts. Corporate list and assist with reservations accordingly -Assist with sending all allotment increase requests from Wholesalers to Director of Revenue and follow up with client within appropriate time limit -Assist Sales Manager with site inspections in the event both are out of the office -Assist with maintaining and updating all filing systems within the department -Ensuring Sales Managers have copy daily of the ROB and Market Segment Report -Assist with all administrative needs such as typing and proofreading form letters, contracts, proposals, RFPs, assembling sales kits and ordering kit materials as needed -Answer both phones and check email in the absence of Sales Managers and handle urgent requests accordingly

Qualifications:

 

- Previous experience within luxury market, in similar or related role, preferred.

- At least one year of administrative or coordinator experience an asset

-Computer literate in Microsoft Office applications and relevant computer applications required (Micros Opera S&C, and Meeting Matrix preferred).

-University/College degree in a related discipline preferred.

-Excellent communication skills, both written and verbal required.

-Strong leadership, excellent interpersonal skills, and problem solving abilities.

-Highly responsible, reliable and ethical.  A reputation for honesty and integrity.

-Ability to multi-task and take direction from multiple sources; while still prioritizing and maintaining control over workload.

-Team player who is results oriented and highly motivated self-starter.

-Ability to focus attention on guest needs, remaining calm and courteous at all times.

-Ability to work days, nights and weekend; when necessary.

 

 

 

Physical Aspects of Position (include but are not limited to):

 

-Occasional standing and walking throughout shift.

-Occasional kneeling, pushing, pulling, lifting.

-Occasional ascending or descending ladders, stairs and ramps.

-Must be able to lift and carry 20lb.
