Purpose of the role: To be responsible for the accurate processing of all advance reservations. To sell the Hotel facilities and company products in order to achieve the highest room profitability with regard to occupancy and average rate and to give the highest possible standards of guest care and service.

Responsibilities
• To deliver consistently high-levels of excellence to ensure complete satisfaction of both internal and external customers.
• To ensure all reservations made are accurate and all guests receive confirmations of their bookings
• To ensure that all emails are replied to in a timely manner, and in line with the standards and procedures of the department
• To ensure that all incoming calls are answered within three rings and are handled in line with the standards and procedures of the department
• To ensure that incoming faxes are replied to in a timely manner and in line with the standards and procedures of the department
• To ensure that all quotes provided are in line with the current sales strategies, advised by the Revenue Director.
• To be fully aware of the current rate strategy for the next three months
• To ensure that all non-arrivals are thoroughly investigated to avoid charges being levied against guests’ credit card wrongly
• To ensure that all revenue for late cancellations and non-arrivals are charged and revenue is raised as advised by the Reservations Manager and or the Revenue Director.
• To ensure that all daily tasks are actioned accordingly before the end of working day, in line with the standards and procedures of the department
• To ensure that the daily arrival list is thoroughly checked before handing over to the Front desk
o The guest name is correct and the spelling is correct
o Arrival date and departure date is correct
o There is correspondence that is relevant to the booking
o All account instructions are correct and match the correspondence
o All billing and invoicing details are correctly inputted in the Opera
o All rate codes are accurate
o Market segments correspond with the nature of the booking/rate
o Room type booked is accurate
o VIP status is noted and there is relevant information with regards to the guest
o All special requests are noted

• To ensure that all pro-forma invoices requested are sent in a timely manner and are recorded on the Bank Transfer document.
• To be proactive and ensure that all admin accounts are cleared on a daily basis
• To ensure the four daily pick-ups are actioned accurately, on time and issued to the relevant people
• To ensure that all missing correspondence is found and provided to the Front desk or accounts department
• To be fully conversant with other products and promotions within the Hotel and to sell to the guests when appropriate
• To proactively initiate ideas and improvements that may help the efficiency of the department
• To perform any other related duties or special tasks as requested by Senior Management.
• To actively advise to the Reservations Manager and or Revenue Director of any significant changes in hotel inventory
• To actively communicate to the Reservations Manager and or Revenue Director of any significant changes in staffing or daily operations

General Responsibilities
• To adhere to all statutory requirements regarding, fire, health and safety and hygiene
• To participate in cross/multi skilled training within your department or other departments as deemed appropriate by your manager.
• To be responsible for identifying own training needs and communicating them to your manager
• To carry out any reasonable instruction as directed by a manager
• To maintain a high level of dress and appearance at all times adhering to company guidelines
• To uphold and maintain all standards in line with your department’s standard operating procedures
• To ensure that this job description is kept relevant and updated at all times.
• To inform the Human Resources Manager of any changes, additions or deletions
• From time to time you may be required to carry out duties outside the normal sphere of work as may be reasonable requested by Management.
• To understand and adhere to all aspects of the Hotel Employee handbook

Health & Safety
• To ensure the health, safety and well-being of customers and all hotel staff.
• Understanding relevant H&S legislation and the implications on the operation of the department.
• Comply with all H&S rules and regulations including attending training as and when required.
• Ensuring that safe and healthy working practices are implemented at all times.

Training
• To attend all training courses as and when required.

Su di te

• Excellent in English Language both written and verbal
• Outstanding verbal and written communication skills
• Organised and able to work effectively under pressure
• Good attention to detail
• High level of computer literacy including word processing, spread sheets, databases, email and internet
• Experience in a Reservations Systems, or a similar equivalent
• Experience in Customer Service
• Additional Languages are beneficial
