DUTIES AND RESPONSIBILITIES:

  • Ensure Front Office Areas are in a good state of maintenance and cleanliness
  • Assist the FOM/GRM in the supervision of all aspects of Front Office operations established standards.
  • Produce all administrative and statistical reports required by the FOM/GRM
  • Assist FOM/GRM Manager in the annual vacation plan and time keeping reports
  • Ensure that all complaints are immediately followed up on and communicated to the relevant departments and resolved within 24 hours
  • Ensure that all front office staff demonstrate proactive and enthusiastic guest care
  • Ensure that a complete and updated guest history system is maintained
  • Ensure that structured handovers and briefing are carried out for each shift
  • Assist FOM/GRM to ensure that staff are rostered in accordance with Business needs and the Training Activities within the Hotel.
  •  Supervise staff behavior and take immediate corrective action when below Hotel standards
  • Assist the FOM/GRM in the systematic appraisal of all F/O employees
  • Ensure that all accounting procedures area carried out in accordance with Hotel
  • Carry out weekly spot checks on cashiering and float balances
  • Liaise closely with Housekeeping to ensure that optimum number of rooms are available and all incoming guests requirements are met
  • Be informed in advance of all arrival guests requirements and profiles
  • Be informed in advance of all VIP arrival guests requirements and profiles, and keep the Management informed of the same 
  • Ensure all guests per arrival requirements are attended to and guests contacted if email or phone number are known
  • Organize arrival and departures of the guests in coordination with FOM/GRM and MAT coordinator

  • Ensure that all F/O team members at all times are fully knowledgeable of all resort facilities and services offered 
  • Ensure that all team members are fully knowledgeable in particular areas of : booking of restaurants, private functions, excursions
  • Ensure that daily and weekly events are prepared and accurate
  • Ensure that daily newsletter is prepared and accurate 
  • Ensure that rainy weather program is prepared if necessary
  • Together with other team members check VIP rooms if required and ensure amenities set up are appropriate.  Follow up with Housekeeping and In Villa Department for any special requests.
  • Ensure presence of a Guest Relations Hosts or self at the reception, during Management Cocktails and throughout the resort 
  • Ensure that all F/O team members are at all times offering to the guests graceful, personalized and caring service
  • Ensure the highest possible guest satisfaction level of services.
  • Assist FOM/GRM in coordinating the TO or journalist visits with S&M coordinator and assist if necessary
  • Entertain guests, travel agents or journalist when necessary
  • Coordinate wedding arrangements if necessary
  • Ensure that all F/O team members understand the importance of guests preferences and on continuous basis encourage for the same to be collected, noted down and forwarded to profile coordinator  
  • Communicate regularly with the FOM/GRM to keep him/her fully informed
  • Communicate with all the departments, keeping them informed concerning any plans affecting their area
  • Pro-actively sell and promote the various outlets and services of the Hotel to our guests
  • Assist FOM/GRM to ensure that the F/O supplies are reordered on a correct and timely system
  • Perform any other duties as assigned by Management

Candidate Requirements :

  • Graduate/Diploma in Hotel Management
  • At Least 2 - 3 years of experience as a Front Office Supervisor /Guest Relations Supervisor
  • Effective communication skills and pleasant personality are a must – advantage if speaks various language
  • Possession of superior interactive skills is essential
  • Knowledge of Opera
  • Possession of basic computer operating skills – MS Office/Excel is desirable
  • Previous experience in tourism industry would be an advantage
