The Group

Mandarin Oriental Hotel Group is the award-winning owner and operator of some of the worlds’ finest residences and hotels. The Group operates luxury residences and hotels in key leisure and business destinations. The Property

Mandarin Oriental Residences New York is the Flagship Property operated by the Mandarin Oriental Management USA. MOMUSA is the corporate office in the Americas located at 888 7th Avenue.

Strategic Intent

It is the mission and intent of this position that the candidate will assist the Director of Residences for RSDNYC and the Group Residences Corporate Team in compiling, analyzing, and monitoring all transactions and related decisions for the New York and global portfolio of Residences. This individual will present suggestions for improvements and meaningful solutions to daily accounts receivable and accounts payable activities, and billing & budgeting issues as they occur (RSDNYC). This individual will also assist with template and budget procurement & development for residences currently in the development pipeline (MOMUSA).

Scope of Position

This position entails activities related to auditing, billing, collection, accounts payable and receipt of payments for NT Residential Board accounts at RSDNYC. Responsibilities include creating and maintaining manual and computer records of receipts for accounts payable and receivables; performing all the daily audit procedures necessary to ensure the balance & accuracy of all the financial operations and corresponding records of the Residences at Mandarin Oriental, New York; preparation of various monthly reports, in general ledger and month end closing activities. For Group Residences (MOMUSA), the position entails the strategic review of the monthly financials for each residential property in the global portfolio, strategic review of the annual budgets for each residential property in the global portfolio (prior to board approval), the development of new working budget templates, & the assistance with creating budgets for properties in the development pipeline.

Organizational Structure

The Residential Accountant RSDNYC & Group Residences reports to the Director of Group Residences Operations, Operations Manager; Group Residences, Director of Residences RSDNYC.

Duties and Responsibilities

  1. Residential Accountant responsibilities RSDNYC:
    • Prepares monthly billing invoices and statements for all Residential accounts; Processes Payments Received
    • Balances on a Daily Basis the bank operating account.
    • Preparation of Monthly Invoices to Residents for payment.
    • Process of Monthly Common Charges and Miscellaneous charges via ACH payments
    • Processing of Accounts Payable invoices.
    • Processing of Wire Transfers via Bank – Submit for Approvals and Release.
    • Processing of Check Payments through Check Express and obtaining signatures.
    • Setup of New Vendor Accounts.
    • Maintains accurate up to date reference documentation regarding all Residential transactions.
    • Respond to all requests, complaints and questions related to both AR/AP invoices.
    • Originating all purchase orders are processed through Adeco and submitted for approval.
    • Receiving records of items purchased match PO’s and AP invoices.
    • Prepares various daily, weekly, and monthly reports on a timely basis to provide management with timely and accurate numbers on which to base decisions.
    • Prepares the month end closing; prepares and inputs corresponding journal entries accordingly into SUN Systems
    • Prepares the Monthly Forecast
    • Preparation of Monthly Financial Statements for Director of Residence and Board Review
    • Performs monthly reconciliation of all balance sheets and bank accounts.
    • Preparation of Annual Budget along with Director of Residences for Board Review
    • Review of Master Board Budget and inform Director of Residence and Board of any discrepancies or changes.
    • Entry of journal for Annual Budget numbers in SUN system for new fiscal year.
    • Maintaining files and records pertaining to sales, lease, and alteration fees; Prepare invoicing for Sales, Lease and Alteration fees.
    • Setup New Owner /Tenant Accounts
    • Prepare Miscellaneous Charges for billback to Residents on monthly invoice.
    • Provide auditors documentation required for Audit, ensuring accuracy and timeliness of audit completion.
    • Investigates and corrects errors and discrepancies discovered in the audit process.
    • Recommends procedural changes where necessary to correct deficiencies.
    • Handles billing inquiries, disputed charges, research and attempt to resolve disputes, provides documentation to confirm accuracy of billing or issue credit as needed.
    • Maintain backup file documentation for outstanding receivables, AP invoices, PO’s, receiving records and payments.
    • Preparation of 30/60/90+ day aging report for review by Director of Residential Operations
    • Preparation and transmittal of letters requesting payment to outstanding/overdue accounts.
    • Processing of Weekly Payroll. Update payroll to ensure all employees reflect a swipe. Enter any sick, holiday or vacation days. Prepare the Payroll Report, Schedule, Audits, and sign in sheets for the Payroll Manager for the w-e pay period.
    • Annually - Assist Director of Residences in coordinating the Annual Residence Board and Owner meetings.
    • Assist in preparing the NT Annual Owners Meeting via Power Point Presentation for Financial and Budget Review.
    • Prepare the NT Proxy Labels, Ballots, and Invitation Letters
    • Take attendance and minutes of meetings of North Tower Unit Owners and North Tower Board meetings, as necessary.
  2. Residential Accountant responsibilities Group Residences:
    • Review & Analysis of the monthly financials from the global residential portfolio
      • Report discrepancies to director of group residences operations & operations manager, group residences.
    • Direct communication with residential leadership at each property.
    • Advanced skills in excel to curate & develop more efficient budgeting templates for existing and pipeline residences.
    • Collection, documentation, & analyzation of monthly management fees from the global portfolio


Requirements

1.           Mandatory

•                Bachelor’s Degree in Accounting, Finance, Hospitality, or other business-related field of study

•            Two + years’ experience in Hospitality and/or Residential Accounting (A/R, AP, income audit position)

•            Proficiency with all Windows Based software Applications. Experience preferred with SUN Systems and Building Link.

•            Strong level of proficiency in Excel

•            Effective management, organizational and communication skills

•            Ability to work flexible schedule to include weekends and holidays

3.           Desirable

•            Strong Team Player, enthusiastic to learn and accomplish the Mandarin Overall Goals.

Salary Range

$100,000-$120,000/yearly
